Administrator - Receptionist 

Hampshire House is a co-educational school-based centre catering for children from 6 months to 5 years and achieved an exceeding rating in our accreditation in March 2016. It is essential that Hampshire House staff are committed to being co-learners with the children and are prepared to encourage and support their inquiries of the world.

We are seeking a professional and highly organised individual to provide exceptional receptionist and administrative support to the Director of Hampshire House and the Early Learning Centre.  The position will be responsible for the efficient running of the Early Learning Centre including working with the accounts team to issue parent fee statements, and managing the online subsidy/rebate system.

The position is a full-time Monday to Friday 7:30am - 3:30pm position commencing as soon as possible. 

 

The key responsibilities of the position include (but are not limited to):

  • Providing a high level of administrative and secretarial support to the Director of Hampshire House.
  • Undertaking all receptionist duties.
  • Providing administrative support to the staff of Hampshire House.
  • Coordinating and monitoring general facility maintenance requests.
  • Being responsible for the successful completion of the absentee, illness procedures including the appropriate safeguarding protocols connected with this.
  • Upload and maintain relevant information about forthcoming events and excursions on the Intranet.
  • Assisting in the organisation of excursions, incursions, staff functions, and community functions.
  • Maintaining the required supplies and equipment are kept in stock and ordered when required.
  • Assisting staff with databases and word-processed documents by entering data, photocopying and collating.
  • Being familiar with administrative functions of the school database i.e. accessing student details, preparing data summaries, printing addresses, labels etc.
  • Coordinating information in relation to Hampshire House Fees including:
  • Understanding child care subsidy and rebate payment process and system;
  • Process account balance;
  • Upload payments to the bank;
  • Receipt once payments are cleared through bank;
  • Refund of Hampshire House bonds when required; and
  • Process payments on the same day, fortnightly unless an unforeseeable circumstance occurs.
  • Attending staff meetings as required, contributing to these meetings through shared observations of children and by sharing new ideas.
  • Building and maintaining positive, engaging and respectful relationships with families.

We are looking for someone who:

  • Holds a minimum of 5 years’ experience in an administration support position;
  • Has proven interpersonal skills;
  • Possesses excellent verbal and written communication skills;
  • Possesses a high level of computer literacy including electronic communication strategies and a superior knowledge and understanding of Microsoft Office applications, email and database programs;
  • Has proficient administrative skills;
  • Possesses strong time management and organisational skills including the ability to succeed in a busy and fast paced environment;
  • Has the ability to be confidential and operate with discretion;
  • Can show initiative;
  • Possesses knowledge of the child care subsidy and rebate scheme;
  • Possesses experience dealing with collection of fees or accounts (highly desirable);
  • Has a commitment to ongoing professional learning;
  • Has experience in a school environment will be advantageous; 
  • Possesses qualifications in early childhood education (highly desirable);
  • Will actively support the ethos of this Anglican Independent School;  and
  • Will have a commitment to ongoing professional learning.

Kambala is an all-girls, non-selective, Anglican, independent, all-through day and boarding school in New South Wales, serving students from the age of 4-18. The all-through school is situated in Rose Bay, and overlooks the Sydney Harbour. 

Kambala was founded in 1997. The current principal has been there since 2014. It is divided into three sites: the school’s early learning centre, a primary school and a secondary school. The school places a huge importance on IT skills, seeing all students equipped with their own iPad from primary school. It is vital to the all-through school that teachers benefit from professional training opportunities in a welcoming and stimulating working environment.

Kambala boasts a wide range of modern learning facilities across its three campuses, including multi-purpose halls, multiple play areas, a 25-metre swimming pool, a large, well-stocked library, extensive outdoor grounds, science laboratories, photography lighting rooms and sports courts.

Curriculum

The all-through school offers a broad and varied curriculum, including an extensive range of languages - French, Japanese, Latin or Mandarin. In secondary school, pupils work to study towards the International Baccalaureate (IB). Extracurricular activities are available for students to get involved in, ranging from sports to a school choir. There is also private tutoring for students requiring additional help.
