Key duties and responsibilities

To provide guidance to students and administrative support to the Senior Leadership team and the Sixth Form team. 

General Duties of the Role

  • Personal Assistant and secretarial duties as required by SLT and the Sixth Form Team 
  • General Administration duties to support SLT, Sixth Form Team, Sixth Form tutors and subject teachers 
  • Minute meetings 
  • General admin tasks as required for the main office/reception during the holiday periods 

Sixth Form  

  • Maintain the Sixth Form diary and calendar  
  • To maintain and develop SLT and Sixth Form database to include enrichment 
  • To promote and organise Master Classes for high attaining students in Key Stage 4 and 5 
  • Day to day liaison with students and parents/carers, ensuring problems and queries are resolved quickly 
  • Ensuring messages for the Sixth Form Team and Sixth Form Tutors are distributed, received and actioned promptly 
  • Supervise Sixth Form private study area when required 
  • To contribute to and participate in mentoring Year 12 students 
  • To design and produce leaflets and other information in respect of the promotion of Sixth Form and to disseminate information within school and other agencies 
  • To design and produce displays (under direction) on Sixth Form issues as required 
  • Support the Sixth Form team with the organisation and planning of Sixth Form events  
  • Producing information and reports as required 
  • Confidential work for the Director of Sixth Form and Head of Year 12/13 
  • Telephone and reception duties 
  • Preparation and maintenance of files and student records 
  • Support the Sixth Form team with UCAS References and Personal Statements 
  • Liaise with Universities and Apprenticeship providers as and when required 
  • Provision of a first point of contact with students, parents, external agencies and universities. Receiving visitors 
  • Primary contact for SF student pastoral issues 
  • Liaise and assist the Work Experience Administrator/Careers Advisor to communicate with employers and track students placements 
  • Support Sixth Form students with University and Apprenticeship interviews 
  • Organise and attend University visits when required  
  • Efficient and effective service provided characterised by clear, accurate work, meeting deadlines and working under pressure, successful task completion, confidentiality and the ability to work on your own initiative 
  • Efficient and effective use of SIMS, updating student information 
  • Meet with Parent Support Group and organise parent/student voice questionnaires 
  • Updating Sixth Form notice boards 
  • Help and support with the Sixth Form capitation 
  • Updating and maintenance of student documents 
  • Manage all associated filing including overseeing, archiving and retention of Sixth Form student records 
  • Updating student registers 
  • Updating student documents; data checking information, Student Learning Agreements 
  • Monitoring student attendance, punctuality and behaviour logs 
  • Intervention; letters to parents for home/non home study, student passes, behaviour logs  
  • Organisation of student deposits with finance  
  • Updating documents and signing in/out records in relation to the loan of laptops 
  • Maintenance of student lockers 
  • Management of the Bursary payments 
  • Organisation of UCAS payments with finance 
  • Support Year 13 Prom, Leavers’ Buffet 
  • Draft parent/student letters 
  • Re-rooming of students and private study 
  • Arranging AS into A2 interviews 
  • Maintaining the Coursework Diary and Key Stage 5 Support Clinics 

Sixth Form Student Recruitment 

  • Induction/Recruitment Programme 
  • Organising and help with updating the Sixth Form Prospectus 
  • Updating enrolment documents and application forms for internal and external applicants 
  • Organising Taster Days for November and July 
  • Booking interviews for internal and external applicants 
  • Organising Sixth Form Open Evening; booking universities, Prospects, Student Finance, rooming 
  • Support the Director of Sixth Form with Marketing and Recruitment 
  • Help with enrolment on GCSE and A Level Results Days 
  • Updating of documents including enrolment documents and application forms 
  • Booking of careers advisors  
  • Booking for media coverage  
  • Website update 
  • Ordering of marketing material
