Overview

The primary purpose of this role is to be our Co-curricular Clubs Co-ordinator. The role will also support our wider School Office team, covering the later part of our office opening hours.

Expected working hours: Monday to Friday 10am – 6pm, term-time only plus four non term-time weeks.

The purpose of the role

Co-curricular Clubs Co-ordinator

To co-ordinate the school’s exciting and varied co-curricular clubs programme, acting as the first point of contact and source of knowledge regarding the wide range of clubs and activities on offer (musical, sporting and a range of other activities) for families, staff and pupils.

To manage the migration of the programme over to the new school system, “My School Portal” exploring how we can maximise the functionality of this portal to bring more efficiency.

To launch the new clubs portal area to all relevant stakeholders, providing clear communication at the point of launching and supporting any necessary upskilling of users.

To work closely with our Director of Sport and liaise with all external providers in all aspects of their clubs.

To maintain Club registers for clubs run by both internal and external coaches.

To ensure a smooth billing process for external hire charges, in conjunction with our Finance team.

Carrying out day to day administration relating to after school care, including registers and liaison with finance team with regards to billing.

School Receptionist

To welcome visitors by greeting them, in person or on the telephone; answering or referring enquiries.

To direct visitors and accompany them to waiting areas and then to meetings.

To maintain security by following procedures, issuing visitor badges and being aware of compliance regulations around site safety.

To support current families with general school enquiries.

To work closely with the office team to promote a professional and productive school office environment.

To manage download of daily Tea List and communicate with staff and kitchen on numbers.

To distribute daily incoming and outgoing post.

Person specification and skills:

·        Good level of literacy, numeracy, word processing and IT skills, including a good working knowledge of Microsoft Word and Excel.

·        Excellent telephone manner and strong inter-personal skills, with a proven ability to communicate effectively with staff, children, families and visitors.

·        Strictly confidential at all times.

·        Smart and professional appearance.

·        Energetic and positive attitude.

·        The ability to work under pressure in a demanding and busy environment whilst

maintaining a good sense of humour.

·        Good common sense and a willingness to learn.

·        Well organised and experienced in all aspects of administration and capable of working on their own initiative.

·        Monitoring, prioritising and completing work to set deadlines in an effective and efficient

manner, paying attention to detail.

·        Able to take initiative and show maturity, tact and discretion bearing in mind the

confidential or sensitive nature of the work undertaken.

·        Flexible and supportive with the ability to work cohesively as a member of the

administrative team embracing the ethos of the School
