About Mother Teresa Early Learning Centre
Mother Teresa School caters for students from four years of age, where students are enrolled in our Early Learning Centre, to students in Year Six. Our school motto “do small things with great love” inspires us to care for fellow members of our school community as well as reach out into the wider community.  

About the Role
An exciting opportunity for a professional Administration Officer (Finance & Administration) exists at Mother Teresa Early Learning Centre, Harrison.

The position is the first point of contact between the ELC and our clients and is also a point of continuing communication within our ELC community (parents, parish, staff, students, and visitors). The role will require highly developed communication and interpersonal skills and competencies with the financial workings of a school setting.

Key Responsibilities 

  • Generate family statements/invoices fortnightly
  • Follow up monies owed to the ELC in consultation with the Director, including preparation of overdue letters and compiling information for debt collectors
  • Assist in the preparation of Annual ELC Budget in consultation with the Director
  • Payment of all ELC accounts and financial management
  • Prepare financial reports for Director
  • Maintain ELC asset register
  • Maintain filing system of official records, publications, instructions, correspondence, receipts, and invoices relating to finance
  • Provide first point of contact for parents, students, and visitors to the ELC in a warm and welcoming manner
  • Maintain attendance rolls and input data into Qikkids in conjunction with the Director
  • Manage enrolments in Maze, Funnel and Qikkids
  • Update and prepare parent information booklets and orientation packs for enrolment period
  • Maintain Maintenance Log Book and CEO Maintenance requests
  • Maintain Archival Material – Newsletters, Financial Records, Student Records, Class Rolls, Absentee notes, etc
  • Maintain office machines and office stationery

Essential Criteria 

  • A Working with Vulnerable People Card (WWVP)
  • Business/management or administrative qualifications to the level of Cert III and/or with 3-5 years relevant work experience
  • An ability to provide First Aid and support to students
  • Highly developed communication and interpersonal skills including the ability to relate with staff and parents in a professional, informed, adaptable and caring manner
  • Excellent time management skills, attention to detail and ability to prioritise workloads in an office environment
  • Experience in finance primarily in accounting principles, budgets, BAS, and financial roll over processes
  • Experience in reception duties and general office functions
  • Experience and understanding of ELC or school finance and student management software such as MAZE and Qikkids, and a willingness to learn new systems
  • The ability to maintain confidentiality

Other Eligibility Criteria 

  • You must be an Australian Citizen or Permanent Resident to be eligible to apply for this position. 
  • Appointment is subject to satisfactory employment screening for child-related employment in accordance with CECG policy.
