Role:           Part-Time Receptionist

Location:       The Haberdashers School, Elstree, Hertfordshire

Hours:         Term-time, Monday to Friday (07:30am – 13:00pm)

Term-time, plus five days to be worked in the holidays as agreed by the Head of Prep School for staff meetings and professional development.


Overview

We are looking for a Part-Time receptionist to join our highly successful and renowned Pre-Prep School based in Elstree. The overview of the role is to be the front face of the Prep School, handling telephone calls, managing emails and all visitors into the School. The post holder will work as an integral part of the Preparatory School; this includes dealing with support staff, teachers, pupils and parents.

General Duties:

  •      Receive all incoming telephone calls and take messages where necessary to pass to relevant member of staff.
  •      Manage the School Office email inbox and responding to parent enquiries in writing.
  •      Oversee security of the school via access system and checking access in/out of all adults and children.
  •      Greet visitors and issue visitor badges.
  •      Report maintenance requirements to Estates.
  •      Assist with messages and delivery of forgotten items.
  •      Oversee Reception area; keep tidy, clean and welcoming including renewing literature etc.
  •      Keep diary and log appointments for school tours and give any help to prospective parents.
  •      Accurately maintain all attendance register information for the Prep and Pre-Prep.
  •      Monitor attendance and absences, producing attendance reports as necessary.
  •      To assist the PA to the Head of Prep in planning major events, which may involve creating letters, presentations etc.
  •      To assist in administration tasks related to Prep School events, including Parent events and Admissions (seasonal).
  •      Assist Prep School Staff with clerical assistance where appropriate.
  •      Other ad hoc duties as requested.


Person Specification:

  •      A Levels or Equivalent.
  •      Paediatric First Aid training, or a willingness to train.
  •      Extensive experience as an Administrator, ideally in a school environment.
  •      Good levels of literacy and numeracy.
  •      IT skills demonstrating knowledge of Microsoft Office Suite including Outlook, Excel and Forms.
  •      High levels of literacy and numeracy, including the ability to organise and work independently.
  •      Interpersonal and communication skills, and the ability to interact with people at all levels.
  •      Organisational skills, accuracy, ability to organise and prioritise work.
  •      Excellent oral communication with a clear delivery.
  •      Flexibility in approach to people and to work as one team.
  •      A friendly and professional approach to students, parents’, and staff.
  •      Willing to undertake training and development as required particularly in relation to new technology etc.

Haberdashers' Boys' School is a large independent school located in the village of Elstree, Hertfordshire. Founded in 1690, the all-through school educates around 1,200 boys aged 5-18, all of whom are day pupils.

The School has a selective admissions policy, with prospective students for the senior school expected to pass entrance exams across a range of subjects. The best-performing boys are interviewed to ascertain their suitability for a place at the School. Entrance to the pre-prep and prep departments is also selective, with assessed playgroup sessions and exams used depending on the boy’s age.
