Job overview

This is an exciting opportunity to work within the IT function of one of the leading education groups in the region. The holder of this position will be reporting to the MIS Manager, supporting all schools within the EKI Group (Repton Dubai, Repton Al Barsha, Repton Abu Dhabi and Dovecote nursery) with all aspects of schools’ management information systems, specifically relating to the schools’ use of School Management Systems.


Job Purpose:

The School Data Administrator is primarily responsible for managing MIS systems, other related systems and any change requirements, with a key role in training staff to use the group’s MIS, and supporting with the requirements gathering and development of the same.  The individual will ensure the regular consistency and completeness of data and performance management information to enable effective strategic and operational decision-making. The role extends to support the overall IT services and applications.


Main Responsibilities:  

  • Manage curriculum-related records for the schools of the Group, and make sure that subjects, classes, and staff records are properly allocated.    
  • Provide full support for time-tabling software, and allocate students to their respective classes.    
  • Liaise with academic staff on reporting requirements. Manage and monitor the setup and use of academic reports. This requires good knowledge in setting up SSRS reports.    
  • Work closely with the software development team upon the creation of new reports, and make sure that the requirements of academic staff are properly reflected in the final output.    
  • Liaise with software vendors on any issues or design requirements when needed.    
  • Manager Parent Portal, monitor its performance, and work on resolving any issues as soon as they are reported.    
  • Setup and monitor pupil tracking sheets, ensure data entry completion by academic staff, and produce analysis reports for the leadership team.    
  • Create, manage, monitor, and update Extra Curricular Activities (ECAs) in coordination with academic staff, and provide training to staff on ECAs use when needed.    
  • Provide comprehensive training to academic and non-academic staff on the use of MIS system, as well as on how to generate and read academic and analysis reports.    
  • Understand the configuration and flows built within admissions (HubSpot) application and be able to support, resolve issues, and suggest enhancements to the process.    
  • Help utilize the tools available within Office 365 suite, e.g. PowerApps and Power Automate.


Other general tasks:  

  • Manage and update changes to class lists.    
  • Monitor the applications performance, and ensure that registration process is streamlined and runs smoothly on the system.    
  • Track defects and monitor their swift correction without any regression on other features, collaborating with the developer.    
  • Confirm need for change requests and identify ways, with other schools in the Group, software provider and/or developer, to provide these changes, track them and ensure successful delivery without any regression on other features.


Qualifications & Requirements:  

  • Required - Degree/Diploma/Other qualification in IT or related field.    
  • Required - Knowledge of a school MIS such as SIMS, Engage or iSAMS and Time Tabling solutions.    
  • 1-3 years of experience in school data management and/or IT role within an education institute.    
  • Proactive team worker who can work with accuracy under pressure and deliver exceptional service levels to stakeholders across all Group Schools.    
  • Knowledge in MS Dynamics AX ERP and SQL is a plus.
