Are you an experienced finance administrator looking to take the next step into a team leader role as Office Manager?

Your Opportunity

We are looking for a team leader to provide accurate and efficient finance and admin support. Managing a team of two, the role will focus on the smooth running of the busy main school office, liaising with GLF Central Finance to ensure finance and administration tasks are completed such as raising purchase orders, confirming deliveries received and providing administrative support as needed.

On a daily basis, finance tasks will involve responding to staff finance queries such as assisting in raising purchase orders on PS Financials, setting up new suppliers, placing orders, completing GRN's following deliveries, reconciling the school credit card and fuel card, processing holiday Free School Meal vouchers, handling payment queries or refund requests from Parent Pay; and passing invoices to GLF Central Finance for payment. 

As the school Office Manager, you will ensure confidentiality is maintained within the main office and processes are in accordance with safeguarding requirements. You will line manage and organise the admin team to ensure efficient and timely parent communications and sent and responded to, and efficiently manage and prioritise team members workloads. You will ensure high standards are archived with written communication released ensuring letters have correct punctuation, spelling and grammar; and formatted in line with Aureus letterhead presentation of documents. As part of a rota system, you will provide cover for Reception and first aid to students or staff as needed. You will conduct ‘Care Plan Meetings’ with parents following student notification of medical needs to fully understand medical needs and medicine dosage. You will lead your team to ensure student medical data is kept up to date and maintain a clearly labelled and organised medicines store in lockable store cupboard at all times. As needed you will contact parents to complete a PEEP (Personal Emergency Evacuation Plan) for all students requiring assistance in the event of evacuation. You will routinely audit all first aid kits throughout school to ensure well stocked. 

The role is 22 hours per week, 39 weeks per year with a working pattern of 8.45am to 2.45pm on Monday, Tuesday, Thursday, Friday. There is possible scope to amend the working pattern at interview stage only. The successful candidate will be expected to respect the need for confidentiality that exists when working in a school environment and will enjoy the rewards of working within a friendly and co-operative team.
