École Jeannine Manuel, in the heart of Bloomsbury, London, is looking to appoint an efficient, flexible and proactive individual to fill the role of Payroll & HR Assistant, for an immediate start. 

The Payroll & HR Assistant will work closely with the HR Manager to assist with the day-to-day functioning of a growing HR department.

The successful candidate will be required to administer the School’s in-house payroll, employee benefits and pension schemes for a team of approximately 130 school staff – 85 teaching, 35 admin, and 20 part time. Experience in a school setting would be an advantage.

Payroll Duties will include:

  • Processing a timely monthly payroll, including amendments, new starters, leavers, contract changes, tax code changes etc.;
  • Collating and inputting monthly payroll data including timesheets and expenses claims;
  • Preparing and applying maternity and paternity leave calculations;
  • Processing transactions relating to salary sacrifice schemes;
  • Processing incremental pay increases;
  • Conducting regular checks to ensure the integrity of the payroll database.
  • Preparing monthly payments to employees, HMRC, pension providers and other external bodies;
  • Preparing and submitting monthly and annual returns to the School’s pension providers.
  • Preparing and submitting monthly and annual returns to HMRC.
  • Dealing with enquiries from employees, management and external contacts in person, by telephone or in writing.
  • Reconciling all payroll transactions to the nominal ledger.
  • Maintaining up to date and comprehensive guidance notes on payroll procedures.
  • Ensuring that robust audit records are maintained and working with auditors as required;
  • Supporting the HR team with any other appropriate duties as may be required.

HR Duties will include:

  • Assisting the HR Manager to process all new starters and leavers including production of employment contracts, induction packs, reference requests, company handbooks, leaver letters and holiday payments;
  • Processing paperwork associated with employment changes and variations to contracts, as and when required;
  • Assisting in the administration of staff right to work documents and the School’s Visa Sponsorship programme;
  • Creating and maintaining up to date folders for all employee benefit information;
  • Assisting with any recruitment administration, including employment applications and ensuring safer recruitment practices are met;
  • Supporting the HR Manager with additional HR administration requirements.

École Jeannine Manuel is a mixed, non-denominational, all-through school with nursery but without sixth form, situated in Bloomsbury, Central London. Opened in September 2015, it is the sister school of an elite private day school in France, also called École Jeannine Manuel and founded in 1954. 

The London branch of École Jeannine Manuel is an Ofsted-registered independent school which will provide 500 places for nursery, primary and secondary-aged students when fully subscribed. It currently enrols pupils through to Year 10, and is working towards introducing students up to Year 13. The original École Jeannine Manuel is France’s largest non-denominational independent school, with more than 3,250 students across both Paris and Lille.
