Job overview

The Admissions Assistant will assist the Admissions Teams with administrative duties.

Main Responsibilities:

  • To speedily and accurately update iSams, the school’s database, with pupil and prospective pupil data
  • To assist in the preparation for Admissions events such as Open Days, taster days, induction days and other relevant events ensuring that they are organised and work effectively for the Admissions Department.
  • To keep all records up to date and in an orderly manner within the digital office filing system.
  • To maintain admissions spreadsheets, collating the return of admissions documents in the requested timeframe and uploading these documents onto iSAMS.
  • To ensure the protection of sensitive data and documents (within the General Data Protection Regulations 2018) such as pupil addresses etc.
  • To assist with UKVI Applications, collating and filing of visa information and maintaining spreadsheet records of this and to have responsibility to ensure all information and records are up to date.

  • To assist and support with International Pupil Applications including liaison with agents when necessary, uploading international pupil data on to iSAMS and setting up campaigns and in the preparation of offer letters and liaison over visas.
  • During the schools holiday periods to assist with prep school administration, chasing admissions documents and making sure all new pupil files are up to date and all iSAMS a data is up to date as well as the facilitation of any visit that are required.
  • To work across the whole Marketing and Admissions Department as required.


Hours, Salary and Benefits:

Hours: 8:30am - 5pm, Mon - Fri, with 30 min unpaid lunch break. Year round role.

Flexibility will be required and occasional evenings and weekends. Option for two flexible days working from home under normal circumstances, as agreed with the DoA.

Salary: £27,000 - £29,000 dependent on skills and experience

Founded in 1928, Westonbirt School is a secondary school with a sixth form for boys and girls between the ages of 11 and 18. There are currently around 500 pupils enrolled at the school. It is situated on 210 acres of land in Tetbury, Gloucestershire. The school has a thriving boarding community. Pupil numbers have grown rapidly since the transition to full co-education in September 2019. A whole site development masterplan is in place which has seen significant investment in new teaching spaces, boarding accommodation, sports facilities and infrastructure.
