We are looking for an experienced Administrator to assist the College Site Manager in the running of the sites at Abbey College Cambridge including the College, and four boarding accommodation sites in line with Group Health and Safety guidelines and policies.

 

 

Your duties and responsibilities will include the following:

  • Management of the spreadsheet of works to be carried out across the College and boarding houses.
  • Manage the shared maintenance inbox being the main point of contact and escalating a matter to the Site Manager when needed.
  • Day-to-day management of tasks allocated to the caretaking team, and record when jobs are completed.
  • Initial point of contact for contractors on site, and reporting back to College Site Manager as required.
  • Managing communication with all staff on important site updates such as weekly fire alarms, parking restrictions and any other H&S related updates.
  • Ensuring contractors are escorted on-site, in line with safeguarding regulations as required.
  • Manage the exams processes during exam season, assisting with room set-up/assemblies as required, including working closely with the exams team for room layouts etc.
  • Responsible for carrying out weekly/monthly tasks on site such as checking first aid boxes, fire extinguishers, emergency exits, weekly fire alarm testing, termly fire evacuations.
  • First point of contact with third-party management and private landlords on the upkeep of accommodation blocks.
  • Taking an active role in committees across the College, including Health and Safety, Fire Safety and to deputise for College Site Manager when required at other meetings.
  • Assisting with compliance inspections across the sites.
  • Carrying out routine checks each term for Boarding Staff’s accommodation.
  • Monitoring and utilising the Building Management Software System.
  • Manage all paperwork relating to the site itself including the upload of compliance certificates and documentation to central database Sharepoint.
  • Monitoring and reviewing colleges processes/procedures and updating when required.
  • Helping out in other areas of the College as and when required.

Deputising in the event of College Site Managers absence.

 

Qualifications and Experience

You will have proven experience of working in a busy office or site environment, be competent in the use of IT, particularly the use of databases and the use Microsoft Word, Excel and Outlook. You should have a flexible approach to workload with the ability to prioritise.

A level’s or equivalent qualifications or experience. You will have a basic knowledge of Health and Safety procedures and experience of supervising staff would be advantageous but not essential.

Checks and Training

• Enhanced DBS checks to ascertain successful candidates suitability to work with children will be carried out. This post is exempt from the Rehabilitation of Offenders Act 1974, and therefore all convictions, cautions and bindovers, including those regarded as ‘spent’ must be declared.

• Online searches will be carried out on candidates for any unsuitable content by or about candidates.

• Two written & verbal references from previous employers and a personal reference will be sought. Referees will be asked about candidates suitability to work with children and whether they know of any disciplinary offences relating to children or young persons and whether candidates have been the subject of any child protection allegations or concerns and if so the outcome of any enquiry or disciplinary procedure.
