Job Title: HR Administrator

Job Purpose: A generalist HR Administration role, providing support to the HR Team

 

Reporting Line: Head of HR

Start date: 17 April 2023

Tenure: Permanent, Full-time

Monday to Friday, 37.5 hours per week

8:00am – 4:00pm / 9:00am – 5:00pm

Remuneration: This is an entry-level role with a salary of £23,466 per annum (non-negotiable)

The HR Team at Surbiton High School consists of the Business Director, the Head of HR, the HR Compliance Officer, the HR and Recruitment Coordinator, and two HR Administrators. We are a busy and enthusiastic team of who love what we do and are passionate about the pivotal role that HR plays in our School.

The HR Administrator forms a key part of ensuring that we meet our deadlines and that our paperwork and processes are compliant, up to date and accurate. It is a varied, generalist role that covers the entire employee life-cycle, with scope for involvement in ad hoc HR projects running alongside the daily key responsibilities. Once you are established in the role, there will also be an opportunity to obtain a Level 3 CIPD qualification via an apprenticeship programme run by United Learning.

 

Key Responsibilities:

  • To support the HR and Recruitment Coordinator in all aspects of recruitment, including posting job adverts, assisting with scheduling for interview days, contacting candidates, making room bookings, creating interview packs, checking application forms for gaps, undertaking online searches on applicants, submitting reference requests, sending calendar invites, meeting and greeting candidates upon arrival and walking candidates between interview tasks
  • To monitor the Recruitment inbox, responding to day to day enquiries from staff, applicants and other external stakeholders
  • To attend shortlisting and wash-up meetings when required
  • To offer successful candidates, decline unsuccessful candidates, and collate and draft interview feedback
  • To gather and organise paperwork post-interview - scanning and filing documents, and applying relevant retention policies
  • To support the HR Compliance Officer in relation to Safeguarding and Compliance requirements for new staff, including meeting new starters to conduct ID checks, submitting DBS checks and requesting and collating other clearing paperwork
  • To make up offer packs and track the receipt of new starter paperwork
  • To create and maintain the employee files (paper and electronic) – scanning and filing documents, archiving, applying retention policies
  • To maintain and populate the HR Master Spreadsheet and other spreadsheets as required
  • To maintain and update the HR system (Midland iTrent) and School Management Information System (MIS), including adding new staff, updating contact details for existing staff, recording sickness and absence, and other amendments as required
  • To assist with the annual staff-student relationship send-out and collation of responses
  • To assist with all aspects of the probation procedure, including sending reminders to line managers, chasing, scanning and filing paperwork
  • To collate daily absences, request and chase absence-related paperwork, and maintain the HR system in relation to these
  • To process leavers; drafting resignation acceptances, entering leavers the HR system and spreadsheet, and archiving
  • To process maternity and paternity leave paperwork
  • To draft employee letters and contracts using set templates
  • To draft and send responses to reference requests from external sources
  • To type up meeting notes and minutes
  • To support colleagues and external stakeholders with HR enquiries in person, by telephone and email
  • To support the whole HR Team in ensuring the smooth running and efficiency of the HR Department
  • To provide administrative support for the execution of United Learning HR policies and procedures
  • To carry out any such duties as may be reasonably requested

 

Person Specification

The successful candidate will be likely to fit the following profile:

 

Qualifications and experience

  • This is an entry-level position, so no additional qualifications are essential besides a minimum of 2 A-Levels in any subject and grade, and GCSE’s in English and Mathematics with a Grade B / 6 and above
  • A degree or equivalent higher education qualification in any subject would be an advantage
  • Previous administrative experience is desirable but not essential

 

Skills and Abilities:

  • Attention to detail
  • Excellent command of the English language, both spoken and written
  • Ability to communicate concisely and sensitively both orally and in writing
  • The ability to inspire and support colleagues
  • Evidence of strong organisational and administrative skills
  • The ability to multi-task and prioritise effectively
  • Proficient IT skills, including knowledge of Microsoft Office (Word, Excel, Outlook)
