Job overview

The Admissions Officer is crucial to the effective running of the school: overseeing the admission process at the normal entry ages – ie Year 7 and into the Sixth Form in Year 12 - and also the process for ‘in year’ admissions to other year groups.

This vacancy arises following the recent retirement of the previous post holder.

Newstead Wood School is a ‘super selective’ grammar school: we run our own selection test, and are not part of a consortium, nor do we have a set 11+ test with a cut off score.

The key aspects of the Admissions Officer role are to:

  • Ensure the efficient and accurate organisation of all aspects of the school’s admission arrangements and processes.
  • Lead the admissions process and organisation of the selection test, working collaboratively with other administrators and senior leaders in pursuit of this.
  • Be responsible for the administration of admissions to Years 7 to 11.
  • Liaise with the Head of Sixth Form regarding the administration of admissions relating the Sixth Form.
  • Support the work of the Clerk to the Independent Appeals Panel by providing appropriate administrative and organisational backup.

In addition to dealing with in-year admissions and answering queries from prospective parents throughout the year, there is a rhythm to the admissions process across the school year:

Autumn term

  • Organisation of the selection test (early September)
  • Publishing selection test results to candidates (October)
  • Sixth Form admissions begin (November)

Spring Term

  • Sixth Form admission process - offers made to external candidates
  • Late selection test testing
  • Working with the local Authority to finalise the list of Year 7 places

Summer term

  • Organising selection test registration (May/June)
  • Collating admissions information from new Year 7s for September
  • Preparation of the selection test and communication to applicants.

Summer holiday

  • Sixth Form enrolment (Late August)
  • Final selection test preparations

The role requires someone who pays meticulous attention to detail, has energy, enthusiasm, a calm manner and the ability to prioritise. They will be approachable, have strong customer service and people skills with a ‘can do’ attitude. The successful candidate will have a high level of literacy and communication skills and will be educated to A Level standard. Experience of using software including Excel, Word and Outlook to a high standard is essential and experience with Applicaa and Arbor would be an advantage.

The Admissions Officer will be required to act on their own initiative, using careful judgement and organisational skills. The role involves access to a wide range of personal information about students and their families, and absolute discretion is essential.

The successful candidate will join a team of dedicated administrative staff within a friendly and supportive school community.

About Newstead Wood School

Newstead Wood is a highly selective girls’ state secondary school, with a co-educational Sixth Form, close to Orpington Station, with direct links to London. Our catchment radius covers a wide, rich range of socio-economic and ethnic areas: over 40% of students are from ethnic minorities and many of our students will be the first of their families to enter Higher Education. The school is heavily over-subscribed.

Newstead prides itself on providing an exciting learning environment, both in terms of resources and expectations, so that each individual can flourish. We recognise the range of students’ abilities, both in terms of specific subjects and personal and social education, and try to respond, often through links with the wider community.  Newstead is nationally and internationally renowned for offering the best ways to provide for the needs of very able students through the formal curriculum and beyond – through extra-curricular and enrichment activities in particular. We have high expectations and encourage students to be self-motivated so that learning arises naturally through enquiry and research, across different subjects. We know that lively minds come to us well stocked and able to think divergently.  Our staff understands very able and gifted students and encourage the appreciation and acceptance of different abilities.

Our expert and dedicated staff inspire our students; and our students' energy, creativity and enthusiasm inspire staff. We are proud of our students' achievements - whatever field they excel in. However, neither staff nor students are complacent - constantly looking for new challenges to meet and fresh problems to solve. Newstead students have freedom and security to be themselves, and many opportunities to follow their interests and aspirations. We know them as individuals and support them to grow as thinking young people and active citizens, ready to take positions of responsibility and leadership on leaving school. If you feel you are able to support us to bring out the best in our pupils, we welcome your application today.
