Overall purpose of the job 

The role of Academic PA will play an integral role in the successful day-to-day running of a busy and dynamic school.  This new post will be responsible for providing excellent support to Academic leaders and will provide high quality and confidential administrative assistance. This will include the handling of highly sensitive, confidential and conflicting issues on a daily basis, dealing with staff, parents, pupils, governors and other external bodies.  Excellent customer service and professionalism is at the forefront of this role. 

Key responsibilities 

• To provide a highly proactive PA service to the Academic Leadership Team;

• To provide quality administrative support including daily, weekly and monthly administrative tasks;

• To have responsibility for diary/calendar management and to manage the annual scheduling of school meetings, ensuring agendas are set to fulfil important school functions;

• To monitor and respond to emails and ensure required action and any follow up is carried out;

• To manage the flow of contact to the Leadership Team, filtering communications and exercising judgement with regard to the degree of urgency and high standards of tact and diplomacy in the referral of matters;

• To field and follow up telephone calls, emails and correspondence as necessary, including dealing with problems, investigating and responding to queries;

• To cover Reception as required;

• To work strategically alongside the Office Manager to ensure that efficient and effective administration procedures are followed and actioned as appropriate;

• Undertake project/research work as required;

• To have a clear understanding of the School’s MIS system, iSAMS, and to utilise this for parent communications and for pupil files;

• To work as part of a team to reach the common goals and objectives of the school;

• Have exceptional communication skills in all areas.
