Job overview

Admin Assistant required to provide professional and comprehensive support and reception duties. This is a fixed-term position for 37.5 hours per week, term time only (39 weeks) with specific responsibility for co-ordinating the student work experience placements.  The successful applicant will be accurate and well organised, able to relate effectively to a wide range of students and staff and work as part of a team as well as using their initiative. 

We are looking for someone who is: 

  • Accurate and well organised, experience of administration 
  • Reliable and trustworthy 
  • Able to relate effectively to a wide range of students and staff 
  • Able to work effectively as part of a team 
  • Ability to prioritise tasks and calls, to identify first line calls and enquiries that can be dealt with immediately and to be able to refer other issues to the appropriate member of staff 
  • IT skills (using MS Office 365) – able to create and edit documents, posters and similar materials 
  • Willingness to learn new skills as required for the post 
  • Able to prioritise competing workloads effectively 
  • Able to work successfully to deadlines 
  • Able to work independently and take the initiative within an established management framework

Also someone with: 

  • Willingness to utilise a range of computerised management information systems
  • Experience of working in schools, is desirable

Duties: 

  • Dedicated responsibility for co-ordinating the student work experience placements
  • General telephone and reception duties 
  • Word processing and typing 
  • Dealing with incoming and outgoing mail 
  • Student records
  • Providing general office services, including filing and copying, as directed by the Head’s PA
  • Providing admin assistance to careers and other teams as required. 
  • Production of promotional and other publications, including posters, to support the work of the school 
  • Liaising with teaching and support staff as appropriate 
  • Maintaining a register of master copies of reprographic material 
  • Maintaining an inventory of reprographics equipment 
  • General administrative tasks associated with the role
