Experienced Admin Assistant – Secretariat British Section/Exams Office – part-time permanent position

Position to be filled:

4th November 2019 - at the Lycée Français Charles de Gaulle, South Kensington, London. 20 hours over 5 days over 40 weeks. Timetable to be established by the Head of British Section.

The Lycée Français Charles de Gaulle wishes to recruit for an experienced Assistant/Administrator with at least three years’ experience to support the Exams Officer and the Head of Centre of the British Section.

Job Description:

  • Position under the joint authority of the Head of British Section and the Examination Officer
  • Be the first point of contact for all calls and emails to the British section from Parents, teachers and various other parties. Coordinate the Head of the British Section diary.
  • Manage all daily secretarial duties as required (overtime, professional development, outings, students’ references and school certificates, copies of Access Arrangement evidence, minutes of meetings, etc.)
  • Manage key messages via our MIS (Pronote) and various teachers’ requests for room bookings, trips messages, etc, liaising with the French section counterparts.
  • Manage and update yearly the subject brochures for the British Section GCSEs and A Levels.
  • Manage the students’ Work Experience process.
  • Support the Exam officer (sending off scripts to Exam boards, manage Results login access for students, assist with collection/delivery of Examination certificates to current and old students, assist with Mock/End of Year Exams and distribution of Results, occasional invigilation duties during exams, assist the Head of the British Section on Results’ Day and organise priority reviews of marking for A Levels, etc.

 

Profile:

  • Fluent in English with a very good command of French, you will have very good oral and written communication skills in both languages.
  • Proven Experience as Administrator/Secretary in a British secondary school environment.
  • Experience with British exams and Exam boards would be an advantage.
  • Very good interpersonal skills and excellent communication skills at all levels.
  • Excellent computer skills (Office and Google tools) and ability to learn new software quickly (MIS Exam system).
  • You have an excellent eye for details with excellent methodology/organisational skills.
  • You are reliable and pro-active, capable of working efficiently, independently and as part of a team, with a great sense of customer service.
  • Patient and flexible, you can work well under pressure and to very tight deadlines.
  • You have the ability to adapt to emergency situations and temporary workloads (school cycles).


Gross annual salary: £14,692.35 (includes a monthly travel allowance)
Employer’s contribution to private pension: 15%
