Administration Support Officer

Do you have exams and administration experience within a school environment? Support Harris Academy Peckham  in the smooth running of our exam office and wider academy. We are looking for a Administration Support Officer to work within our Exams Office, provide administrative assistance and to support our Vice Principals.

Main Areas of Responsibility

  • To provide PA service to the Vice Principals including managing his/her diaries and booking appointments
  • To liaise with subject Achievement Directors regarding examination entry requirements as scheduled.
  • Producing students’ examination timetables and disseminating the information via tutors.
  • Producing a staff invigilation timetable and cover for Invigilators if necessary.
  • Ensuring all staff and parents are fully informed of examination details.
  • Displaying and updating the exams notice board.
  • Completing examination entries using BROMCOM.
  • Organising the setting up of the examination area, ensuring the right notices are displayed and all required equipment is present.
  • Delivering examination scripts to the Invigilators on the day of the exam.
  • Safe keeping of examination registers and seating plans before and after external examinations.
  • Liaising with the SENCO and ensuring special arrangements are in place.
  • Making alternative arrangements for students with examination clashes.
  • Ensuring all estimated grades are returned to the appropriate Examination Boards.
  • Taking delivery of and checking examination scripts and ensuring these are kept in a secure place. Keys to be distributed to relevant staff.
  • Organising the distribution of all external examination results and producing the required analysis for relevant parties.
  • Dealing with problems arising from the issue of examination results.
  • Dispatching examination scripts as outlined by the Examination Boards, including coursework.
  • Familiarising supervision staff/invigilating staff with invigilation procedures.
  • Circulating all exam publications to relevant staff.
  • Arranging the collection of examination certificates.
  • To upload and maintain baseline data for students – including KS2/KS3/CAT/FFT data.
  • To produce baseline data list for staff.
  • Support on the half termly reporting process on the MIS, whilst liaising with the Assistant Principal responsible for ARR.

Qualifications & Experience

  • Ability to communicate with students from a range of different backgrounds
  • Skilled in the use of databases
  • Skilled in the use of Excel and PivotTables
  • Ability to produce user friendly data
  • Ability to communicate with parents and other key stakeholders
  • Ability to remain calm under pressure
  • Ability to work to tight deadlines
  • Ability to generate ideas and drive solutions
  • Ability to work with challenging young people
  • Commitment to equality and diversity
  • Ability to recruit, organise and manage exam invigilators
  • 3 years’ experience of working in an inner city school or educational establishment
  • Experience in a similar role
  • Good standard of general education, including literacy and numeracy skills
