Job Title: Administrator with Lead Midday responsibilities
Grade: Scale 3
Range: 5-6
Responsible to: CEO/Head of school/ Office manager
Responsible for: Midday assistants
Job Purpose
• This role combines the traditional duties of an administrative assistant with the added responsibility of leading and supervising a team of midday staff, in a school setting.

Major Tasks, Duties and Responsibilities
1. Administrative
• Office Management: Maintaining a well-organised and efficient office environment, including ordering supplies, managing inventory, and handling equipment maintenance.
• Information Management: Updating and maintaining records, filing systems, and databases, potentially including student and staff records (with strong attention to data protection and confidentiality).
• Communication: Handling correspondence (emails, phone calls, post), dealing with inquiries from various stakeholders (parents, teachers, visitors), and potentially assisting with school newsletters or marketing materials.
• Scheduling and Coordination: Arranging meetings, managing calendars, scheduling appointments, and assisting with event planning.
• Origination of school trips working with companies, families and staff within the school to ensure that trips are exciting and interesting and linked to the curriculum.
2. Midday team leadership
• Supervision: Leading and supervising a team of midday staff during lunch breaks and playtimes.
• Welfare and Safety: Ensuring the safety and welfare of pupils during the midday break, including supervising them in the dining hall, playground, and other school premises.
• Behavior Management: Encouraging good behavior and table manners, dealing with minor incidents, and reporting serious concerns to the appropriate senior staff member.
• First Aid and Care: Attending to pupils who are ill or injured, ensuring they receive appropriate attention, and recording accidents.
• Team Support: Providing guidance and support to the midday team, fostering a collaborative and positive working environment.
• Communication with Teachers: Liaising with teachers, senior leadership team, and support staff regarding any concerns or incidents involving pupils during the midday break.
3 Resources
• Operate office equipment e.g. photocopier, computer.
• Arrange orderly and secure storage of supplies.
• Undertake routine financial administration e.g. collect and record dinner money.
4 Responsibilities
• Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
• Be aware of and support difference and ensure equal opportunities for all.
• Contribute to the overall ethos/work/aims of the school.
• Appreciate and support the role of other professionals.
• Attend and participate in relevant meetings as required.
• Participate in training and other learning activities and performance development as required.
Other requirements:
• To have an up-to-date Enhanced DBS Disclosure.
