Portland Place School is split over three sites and the successful applicant will at times be required to provide reception cover at any one of the three buildings, which are located within a short walk of each other.

The successful applicant will provide high quality, timely general administrative and reception duties for the school. Previous administrative experience in a secondary school desirable but not essential.

The post is full time, term time only plus three days (the three days are to be worked the first working day before each inset day at the start of each term). Working hours are 37.5 hours per week.

ADMINISTRATOR

Aim of the post

To carry out high quality and timely general administrative and reception duties for the school.


Line management responsibility to

The Administrator is accountable to the Finance & Operations Manager.


SEN Administrator    

To provide a professional, confidential, administrative and secretarial service for the SENCO

To collate and input a range of data required to update SEN records

To enter SEN data and create reports for student tracking

To produce letters and reports as required and arrange meetings for the SENCO


General Administration

To provide admin support for the main office.

To assist with Parents Evening events and provide reception cover when required.

To provide administrative support for other events in the School.

To provide administrative support for stock orders.

To assist with Attendance (checking registers/following up absences) (ad hoc)

To assist with Admissions enquiries, ensuring that all relevant information is collected and passed to the Admissions Registrar for follow up.

To provide admin support to the Registrar.

Responsible for the production and distribution of the Weekly Buzz Newsletter.

Provide admin support for the Enrichment programme.


Reception (general cover)

To assist with school catering requirements.

Answering the telephone and dealing with enquiries in a timely manner.

To ensure continuous cover of the front desk (when required).

To correspond with parents and staff, as and when necessary, via the SIMS database messaging service.

First aider.


General responsibilities

To ensure that the Headmaster and staff are aware of major changes to relevant regulations and procedures.

To proactively identify areas for improvement in all current systems.

To attend and contribute to staff meetings and ongoing professional development.

The Administrator has responsibility for promoting and safeguarding the welfare of children and young people for whom they are responsible, or with whom they come into contact in the school.  It is their responsibility to adhere to and ensure compliance with the school’s Safeguarding and Child Protection Policy at all times.  If at any time the Administrator identifies any instance that a child or young person is at risk they must report their concerns immediately to the Designated Safety Lead (DSL) or the Headmaster.

Portland Place is a mixed, non-selective, non-denominational school for students aged 10-16, situated in central London. It is an independent school with a total of around 230 pupils. Portland Place School offers both traditional day school and hybrid school entry.

Portland Place was founded in 1996 at its present site. The Headmaster is Mr David Bradbury.
