About the Role

The Assistant Finance Officer will have the ability to work collaboratively as part of a team to assist the Finance Officer and Business Manager with financial tasks to ensure the efficient running of the College. As a key member of the Finance team, the Finance Officer is responsible for all aspects of the purchasing and accounts payable functions of the College.

Key Responsibilities

The responsibilities of an Assistant Finance Officer include but not limited to:

  • Maintaining the vendor master file in accordance with college policy and procedure, consolidating to preferred suppliers where appropriate. This includes entering new supplier accounts and credit application forms.
  • Reviewing major expenditure items on a regular basis and highlighting any areas for improved service or concern regarding the appropriateness of resourcing.
  • Assisting college staff with purchases, sourcing the most appropriate suppliers, and reviewing quotes.
  • Ensuring supplier contracts are managed within terms
  • Processing requisitions, purchase orders, ensuring appropriate authorisation, correct general ledger coding and appropriate supporting documentation is provided.
  • Monitoring and maintaining open purchase orders, ensuring correct matching with invoices when received.
  • Validating supplier invoices for goods received, correct prices, ABN registration of suppliers, and GST.
  • Management of all creditor invoices, credit notes and payment vouchers.
  • Verifying vendor accounts by reconciling monthly statements and related transactions.
  • Communicating with suppliers regarding invoice issues and terms of account.
  • Reconciling and processing staff expense reimbursements.
  • Management of college credit and store card accounts including issuing new cards, cancelling cards for departing staff and monthly reconciliation of accounts ensuring card holders correctly acquit all transactions with appropriate supporting documentation.
  • Assisting with the maintenance of Fixed Asset Registers.
  • Providing administrative assistance to the Business Manager as required.
  • Follow up on overdue school fees and any related queries.
  • Performing End of Month and End of Year Roll Over requirements.
  • Supporting other Administration Staff in times of demand, crisis or as requested by the Executive.
  • Undertaking other reasonable and relevant duties within skills, knowledge and capabilities as directed by the Business Manager or College Executive

Essential Criteria

It is essential that the successful applicant have:

  • Extensive skills and previous experience in a similar finance related role with an extensive knowledge of accounts payable, bookkeeping, and general accounting. A previous role in a school environment and qualifications in bookkeeping, accounting, or finance
  • A high level of computer literacy with an extensive understanding of accounting systems such as Compass and Technology One, knowledge of the Microsoft Office suite including Excel, Word, and Outlook.
  • A strong customer service ethic with a demonstrated ability to develop and maintain effective interpersonal relationships with a diverse range of stakeholders.
  • The ability to manage competing priorities and work under pressure while maintaining a highly focused attention to detail.
  • The ability to work collaboratively and flexibly in a team environment to ensure financial management best practice.
  • Self-motivation, with the ability to work independently and show initiative.
  • Well-developed analytical skills and a creative approach to solving problems.

  • You must be an Australian Citizen or Permanent Resident to be eligible to apply for this position.
