Job Purpose:

Provides effective administration support in non-academic areas, ensuring the efficient day to day management of Premises, Finance and Admin functions.  As a member of the school’s administrative team, provides routine general office administrative assistance as required 


Purchasing

• Places authorised orders from staff, receives and checks orders

• Investigating and resolving supplier invoice queries 


Premises management


• Monitor the performance of outside contractors working on the school site and inspect completed work. (eg gas, water and electricity engineers, fire alarm and intruder alarm engineers)

• Check photocopiers and arrange maintenance

• Maintain register of near misses for Health & Safety 

• Be responsible for organising regular audits/checks (eg playground)

• Check bins being collected 

• Check sanitary bins being collected and air fresheners maintained

• Monitor standards of cleaning provided by the school’s cleaning staff or contract cleaning staff and raising these with the contractor to achieve improved performance. 

• Monitor lunch provision and liaise with Contractor

• Check supplies of cleaning materials, personal hygiene products and sundry items and replace as required. 

• Carry out routine check on firefighting equipment and ancillary equipment, e.g. automatic pumps, maintenance of batteries etc. 

• Record meter readings for gas, water and electricity

• CCTV control and monitoring

• Door access control

• To be jointly responsible for the security of the premises, liaising with Alarm Monitoring and other emergency services in this respect as necessary.

• Keeping a log in Microsoft Teams of faults reported and updated with first fix response and actions required and completed. 

• Suggest works to maintain and develop the facilities and premises to meet the educational and community requirements of the school, ensuring they are well maintained, attractive in appearance and provide a safe and healthy environment for staff, pupils and visitors. 

• Assisting in carrying out a rolling programme of redecoration/refurbishment. 

• Help to ensure that an appropriate programme of repair and maintenance for property and grounds is followed and all records are updated as and when required. 

• Routine building inspections of the school and recording daily maintenance and Health and Safety compliance checks. 


Administrative

• Co-ordinates school internal policy review & publication cycle

• Co-ordinates parking permits with the Council

• Co-ordinates Early Education Funding with the Council

• Co-ordinate class day trips liaising with coach company and venue


General Office Procedures


Support the School Office as required: 

• Deals with incoming enquiries promptly, ensuring that messages are recorded and passed to the appropriate personnel in a timely manner 

• Ensures all enquiries to reception by person are dealt with in a professional, courteous and appropriate manner.

• Assists with routine periodic administration tasks

• Contributes positively to effective working relationships within the school community

• The post holder may be requested to undertake further associated activities and responsibilities, of a similar nature to those mentioned above

• Ability to drive minibus if required

Occupying a large Victorian house and adjacent coach house overlooking Kew Gardens, Unicorn is a very happy school. Founded in 1970 by a group of parents who were seeking a child-centred, nurturing and stimulating environment in which their children could flourish, the school has a distinctive ethos and a warm, friendly community where parental input is welcomed.

The well-equipped classrooms are bright and airy. There’s a large purpose-built school hall, a library, art room, science room, music rooms, computer room and a well-maintained garden. Class names are based on colours of the rainbow (Ultra Violet Class being Year 6). There are 9 full-time teachers supported by 13 part-time assistants and specialist teachers, with visiting teachers for music, individual tuition and clubs. Classes average 22 children.

Teaching methods are thoughtfully planned to encourage, accelerate and support each child’s abilities. The School’s individual approach helps the less able as well as the more talented. Unicorn School covers more than the National Curriculum so that every pupil can find areas of personal strength. We encourage children to learn through active, enjoyable discovery and a community of enquiry approach to teaching. The main point of entry is to Nursery at 3+ and the majority of children stay the full eight years. Children are prepared for entry at 11+ to the leading London Day Schools, as well a variety of boarding schools.

The curriculum contains a rich seam of creativity and includes drama, french (from age 5), art and music - with individual music lessons offered in piano, violin, 'cello, clarinet, saxophone, flute, guitar, drums and trumpet, as well as singing. Recorder groups, choirs, chamber groups, an orchestra and windband also flourish.

In addition to the major games of football,  hockey, netball, cricket, rounders and athletics there are optional clubs for tennis, squash, karate and golf. Other club activities include cookery, coding, gardening, arts & crafts, pottery, riding, sailing, french and musical theatre. There are regular educational trips to places of interest, as well as to the museums and galleries of Central London. All children from the age of seven upwards participate in residential field study trips.

A happy, caring environment prevails and importance is placed on producing kind, responsible children who show awareness and consideration for the needs of others.
