Responsibilities and tasks

1. Scheduling

An annual plan needs to be presented in May of the previous school year to show which 

competitive sports are being promoted the following year, the number of teams, the 

coaches needed, seasons, and weekly training needs. These seasons should be added to 

the school annual calendar in June. (see budget below.)

The Athletic Director assists coaches in organizing "try-outs" and training.

The Athletic Director works with representatives from other schools in the PRC to 

produce a calendar of competitive sports events.

All competitive sports events need to be recorded on the monthly events calendar at 

least one month ahead of time.

Teachers need to be notified of any SLT approved competitive sports events happening 

during the school day at least one month ahead of time.

2. Budget Preparation

In March a detailed budget estimate needs to be prepared for the following school year. 

It needs to be presented to the Executive Principal for approval. Note: this does not 

include sports equipment unless this equipment is specifically not to be used as part of 

the taught PE program.

3. Hiring Coaches

Coaches need to be ULC school employees. Vacancies for coaching should be 

advertised during the teacher planning week at the start of the school year. Note: for 

all off campus events there must be sufficient approved adult supervision, following 

current SAO guidelines. The Athletic Director provisionally appoints coaches. A 

complete provisional list of coaches must be presented for discussion and approval at 

SLT in early August or well before the start of any new sports season.

4. Promotion

The Athletic Director needs to actively promote inter-school competitive sports in 

assemblies and present pictures and videos of recent such events in assemblies. The 

Athletic Director will work with the Publications Team proactively in promoting sports 

competitions on the school´s WeChat channel and for other school publications.5. Intra-school

The Athletic Director and Head of PE assist the Student Life Coordinator in organising 

sports days and house events during the school year.

6. Compliance

The Athletic Director ensures that after school sports activities are fully compliant with 

school policy and national laws. There must be a primary focus on student well-being 

and safety at all times. This includes special attention to -

- Overseeing the behaviour of sports coaches and students

- Attention to the school´s Child Protection Policy

- Keeping an accurate record of all incidents involving accident or injury

- Ensuring that properly certified and trained staff supervise aquatic sports and use of 

fitness room

- Ensuring the availability of first aid kits for all sports competitions

- Ensuring that coaches are aware of how to contact on-site medical professionals 

quickly in an emergency both at ULink College and at any school a team is visiting.

- Ensuring that all off campus trips follow SAO procedures for parent permission, 

transportation, supervision, accommodation, student well-being and emergency 

procedures

7. Facility Management

The Athletic Director works with the Head of PE in maintaining equipment and 

facilities at ULink College. 

8. After School Activities

The Athletic Director plans, monitor and assess the annual ASA programme plan of 

ULink College Guangzhou. 

The Athletic Director works alongside the Athletics Director of NCPA and the Student 

Life Coordinator of ULink College to ensure that facilities are not double-booked and 

shared fairly outside normal lesson time.

ULink College is a mixed, independent, secondary school with sixth form, for students aged 14 to 19, situated in Guangdong in China. It delivers the IGCSE and A Level programmes, as well as a range of chances for students to participate in team sports and extra-curricular activities.
