Grace College is a place of boundless potential, and we are seeking an enthusiastic and detail-oriented Attendance Administrator to help ensure that our attendance systems run smoothly and effectively. As an Attendance Administrator, you will be responsible to the Senior Attendance Lead for:
- Managing and monitoring the completion of registers, ensuring all registers are completed timely and accurately, and following up on missing marks and records of reason for absence
- Sending the daily absence alert each morning
- Monitoring the attendance email account and telephone line and ensuring that absence messages are recorded on the MIS accurately
- Being proficient and responsible for the use of attendance monitoring software and any system this feeds into for statutory reporting, such as the MIS for the school census returns
- Making contact with families regarding unexplained absences and communicating updates to the Attendance Support Officers when they are carrying out home visits where necessary
- Following up with staff on any instances of non-completion or inaccuracies in registers and reports
- Liaising with colleagues inside the school and externally to ensure the registers are accurate and up to date
- Taking receipt of leave of absence requests and ensuring that they are reviewed in line with the attendance policy, recording the outcome of this on the MIS
- Ensuring that letters regarding attendance are sent to parents in line with the attendance policy, including staged response letters, editing these where appropriate and recording them on the MIS
- Preparing referral documentation for external agencies to support the needs of young people and supporting the Senior Attendance Lead to ensure these referrals are made in a timely manner.
- Providing daily attendance information and reports to the Senior Management Team
- Undertaking general office duties within the Attendance Office, answering telephone calls, face-to-face enquiries, photocopying, minute taking, etc.
