JOB DESCRIPTION 

Purpose of Post:

• To promote positive attitudes by students and families towards education. 

• Responsible for working with identified students to overcome barriers to learning to ensure they achieve their full potential. 

• To meet targets in relation to school attendance, especially Persistent Absence in collaboration with the Attendance Team.

• To support the work of the Safeguarding Lead and Deputy Safeguarding Lead through administration and office support.

• To ensure accurate secure and confidential transfer of SG files.

• Maintain SG electronic database and paper files. 

Main Responsibilities:

Attendance 

1. To monitor attendance interventions via LABSS meetings. Attending LABSS meetings for all Year groups as a representative of the attendance team. 

2. To actively work with the designated attendance lead in each key stage in order to ensure the consistent implementation of key interventions. 

3. To monitor the impact of the interventions within Key Stage 3/4 teams on a regular basis, and in a timely fashion. 

4. Support the Lead Attendance Officer with all attendance issues in school years 7-13. This includes students who are Educated off–site, on reduced timetables, long-term ill and HINOS 

5. To produce daily absence reports in the case of emergency/evacuation of school and general daily absence reports. 

6. To assist with registers and student count during an emergency evacuation of the school. 

7. To be responsible for the day to day systems and processes related to the school attendance targets.

8. To provide support to Leadership Group. – with attendance analysis and data.

9. To provide information on attendance and Persistent Absenteeism data to appropriate personnel on a monthly basis and as additionally requested. (LABSS) 

10. To Liaise with the school Participation Officer and Heads of Year regularly to review statistical data relating to attendance patterns of groups within the school, identifying students for the Attendance panel and completing referrals. 

11. Welfare call giving attendance information regarding looked after children.

12. Feedback to relevant staff regarding outcome of the panels. 

13. To monitor attendance of specific groups.

14. To maintain contact with parents/carers regarding issues of attendance. Check the attendance email boxes and voicemails daily and update SIMS with any absence data. Monitor throughout the day and respond as necessary. 

15. To ensure that school registration systems are delivered and correctly administered and report on the quality of registers.

16. To attend and participate in meetings as required - provide attendance data for other meetings taking place eg- permanent exclusions, key stage meetings 

17. To participate in the development of school reward systems in relation to attendance. 

18. To keep up to date with current technology and software within attendance and registration issues.

19. To be responsible for ensuring late students register on arrival in school and inputting onto the system. 

20. Send warning letters out to parents of students who have poor attendance. 

21. Complete and send referral forms to the participation officer for students with poor attendance / children missing in Education. 

22. Use parent call or the equivalent software to contact parents on a large scale.

23. Assisting with Attendance issues ensuring registers are completed correctly, collecting registers and producing absence reports 

24. Contacting parents regarding absence issues on a daily basis and track. 

25. To monitor closely all aspects of school attendance to promote high levels of attendance. 

26. To prepare regular and timely analysis of whole school trends in attendance; preparing useful information for all stakeholders. 

27. Chase incomplete registers daily and run a weekly report which is sent to SLT for tracking. 

28. Monitor the incomplete register tracker and inform heads of departments of staff who have persistent incomplete registers. 

Safeguarding Administrator

1. To provide general administrative support for the Designated Safeguarding Lead and the wider safeguarding team, including phone calls, emails and other communication;

2. To comply with the Academy’s policies and procedures in respect of: (1) safeguarding, (2) health, safety and security, (3) confidentiality and (4) data protection.

3. To maintain student safeguarding files and uphold confidentiality at all times. 

4. Administrator for the Safeguarding software “My Concern”. Using the resources tabs, creating reports for the Safeguarding lead and DSL. Assist with raising concerns. 

5. Assisting with Safeguarding training for staff. Track and monitor staff training records. 

6. Ensure any Safeguarding files received are uploaded to my concern and then filed promptly and securely in the Safeguarding cupboards. Maintain the accuracy of both.

7. Ensure that when a student leaves any Safeguarding files are forwarded on to the school promptly accurately and securely. 

8. Safeguarding bulletins- Send out weekly Safeguarding bulletins from the DSL or Safeguarding lead to parents and also any critical or emergency bulletins. 


Current Administrative responsibilities. 

1. SHSSN administrator. Responsible for the administration and coordinating of the SHSSN programme. Facilitating and assisting on events throughout the year. Ordering of equipment booking of guests. Inviting primary schools. Liaising with the SLT member overseeing SHSSN. Minute the 2 weekly meetings.

2. Using parent call software to send texts and emails out to parents and or students. 

3. Send out reference requests for students that have studied at Barnhill. Right to remain requests or job references.
