OVERVIEW OF THE JOB

The responsibility of the Attendance Manager (with Examinations Responsibilities) maximise student attendance within the College. This requires the timely provision of accurate and clear management information to key members of staff and timely contact with students. In addition the role will also work under the direction of the Examinations manager to ensure the smooth running of all internal and external examinations and interactions with the examination boards 

REPORTS TO

You will be directly responsible to the Assistant Principal (Admissions and Administration). You will work within the framework set by and under the general direction of the Principal.


MAIN RESPONSIBILITIES OF THE JOB


As Attendance Manager

 To direct, supervise and liaise the Examinations Manager (with Attendance Management Responsibilities) and others in all matters relating to that role’s contribution to the College’s management of student attendance.

 Update attendance registers daily following initial teacher entries

 Monitor and respond to the UKVI tracking report

 Provide management data for attendance

 Monitor all low-attendance students, liaising closely with the Assistant Principal (Pastoral Care and Personal Development) and the House Directors

 Authorise allowable absences, consulting with boarding and pastoral staff where necessary

 Follow up missing attendance data

 Respond to student and staff queries via email, phone and in person

 Maintain registers by building them at the start of each academic term and closing them at the end of the academic year 

 Take a lead role in promoting the college aims with regard to the Attendance Policy and ensure that all aspects are implemented successfully. Make suitable recommendations for any changes to this policy based on experience

 Monitor, assist and take appropriate action to improve the attendance of individuals and groups, to ensure that non-attendance is quickly tackled and challenged


Examinations

Under the direction and supervision of the Examination Manager:

 To direct, supervise and liaise the Attendance Manager (with Examinations Responsibilities) and others in all matters relating to that role’s contribution to the College’s management of examinations, internal and external.

 To have a full understanding of Unit-e Exams Manager, Shackleton and the College Exams Policy, in order to:

 Administer all external and internal examinations, including liaison with the Joint Council for Qualifications (JCQ) and examination boards, ensuring all entries are processed in accordance with the examination board regulations and deadlines

 Liaise with the Assistant Head (Academic) and Heads of Department to ensure that exam entries are processed accurately and deadlines are adhered to

 Prepare and update all examination entries, including financial estimates of fees

 To take the lead in the management of UFP Examinations, acting as the DigiExam account management such that you are able to:

o administers the school's/organization's accounts by inviting teachers, administrators and account managers, and by revoking accounts.

o Schedule, start and end exams. Create courses and classes. Enter students for exams. 

o See which students have started and handed in their exams.

o Unlock student exams. 

o Search for the students registered in DigiExam and their log in criteria.

o Create invigilator account, provide relevant trainings for invigilators and teachers. 

o See all exams, classes, and courses that teachers create.

o See all exams, classes and courses that students have completed or are members of.

o Remove the anonymization from exams.

o Serves as the contact person/liaison between DigiExam and the school.

 Printing and distributing UFP certificates.

 Canvas 

o Publish and start courses on Canvas

o Create groups and enrol students into courses

 Provide relevant data in respect of entries, fees and late fees to the SLG

 Responsible for the organisation of the examination timetable, including liaison with external venue providers to ensure that appropriate rooms are booked for examinations.  

 Publish agreed timetables and seating plans to staff and students

 Liaise with the Assistant Principal (Academic) and the Heads of Department in the organisation, timetabling and invigilation of all internal/mock examinations and practical assessments

 Responsible for the dissemination and collection of Optem forms and coursework mark sheets to Heads of department for completion and return to the exam boards by the specified deadlines

 Brief students on examination procedures and produce guidelines for staff and students

 Responsible for organising and overseeing student movement to ensure that appropriate examination conditions are in place for all examinations
