Job overview

We require a motivated and enthusiastic Attendance Officer to join our support staff at Langley School to administrate pupil attendance according to government and ISI requirements, and liaising with pupils, parents and staff. In addition, the Attendance Officer will provide support for the reception desk, ensuring that all visitors to the school are managed in a professional manner. Term-Time Only position (35 weeks per year), 08:00 - 17:00 (37.5 hours per week), £18,635.40 gross per annum.


The Role

Duties & responsibilities:

  • Check the absence phone line and absence email every morning and update the registers.
  • Update registers with anyone who is out on a trip etc. every morning.
  • Produce "N" report and send out to all staff every morning and afternoon.
  • Send reminders to teachers that do not complete registers.
  • Alert SMT at the end of the day of the staff that have not completed their register, so SMT can take action.
  • Be responsible for contacting parents/guardians of those that have not shown up to school. This may involve asking the pastoral Support Workers to contact parents/guardians of certain pupils in their year groups.
  • Run year group reports showing overall attendance and trends. 
  • To meet with the pastoral team fortnightly, to discuss the attendance of those that have less than 95% attendance.
  • To work as part of the Administration team.
  • Present a professional welcome to all visitors, staff and students including telephone calls.
  • Set up and maintain the school's database of attendance records in accordance with Government and ISI requirements, liaising with teachers, pastoral support and the Headmaster as appropriate and providing reports as required.
  • To undertake relief Reception duties and to provide cover within the Admin team when necessary.
  • To manage queries from parents/carers and stakeholders with professionalism ensuring that any messages or complaints are immediately dealt with or forwarded to the relevant member of staff.
  • Complete and monitor student attendance, including pupil absence requests, response letters and emails following up on unreported absence and recording late arrivals.
  • Ensure monthly registers are complete and filed securely on the system.
  • Maintain and update all administration and information systems and processes as required, including retrieving and collating information to ensure delivery of a high-level administrative service.
  • To carry out additional administrative duties as required from time to time ensuring there is seamless delivery across the reception/admin function, maintaining a credible and efficient first point of contact for the school.


Essential Criteria

  • Knowledge of iSams (School Management Information System) would be an advantage, although full training will be provided. You should be able to demonstrate effective use of Microsoft Office packages and have strong communication skills, both verbal and written.
  • Previous experience in a demanding administrative role.
  • Working knowledge of IT systems and computer literate.
  • Relevant academic qualifications.
  • Demonstrate the ability to communicate across all levels both internally and externally.
  • Previous experience of working in a school - advantageous.
  • Organised and able to prioritise work.
  • Able to work largely unsupervised.
  • Ability to work constructively as part of a team or as an individual.
  • Calm and considered when under pressure.
  • Ability to exercise sound judgement and decision making.
  • Excellent verbal and written communication skills.
  • Confident and personable.
