Role:
We are searching for a Bursar’s Administrator to provide administrative support for school finance related matters.
This job description is written at a specific time and is subject to change as the demands of the Collegiate and the role develops. The role requires flexibility and adaptability and the employees of the Collegiate need to be aware that they may be asked to perform tasks and be given responsibilities not detailed in this job description.
The Finance Department:
Thorpe Underwood Services is a management services business for several businesses on the 200-acre Thorpe Underwood Estate along with c550 staff including
- E&L Insurance a niche insurer with £65m GWP and c400,000 policy holders
- Queen Ethelburga’s Collegiate an independent school with approx. 1,300 students
- Martin Services a management letting business responsible for 88 residential properties
The Finance Department works cohesively to support the finance needs of the entire organisation.
Key Responsibilities include (but are not limited to):
Student School Fees:
- Prepare monthly Kindergarten invoices
- Manage Student & Kindergarten Invoice Queries (telephone & email)
- Chasing of Student & Kindergarten overdue fees as directed
- Email Students fee & Kindergarten fee statements as directed
- Identify and process student recharges and/or budget charges
- Production of Direct Debit advance notice letters
- Production of Advance Fee Illustrations
- Monitor for receipt of Military CEAs, providing parents with confirmation of receipt
- Manage repayment of Overseas Refundable Deposits, including submission to bank system and reply to all queries
Preparation of school cash requirements:
- Prepare student pocket money requests
- Prepare school weekend activities cash requests
Sage Accounting System:
- Set up new Student starters in Sage
- Monitor receipt of signed Fee Remission Letters
General Duties:
- Recovery of unpaid import duty on all letters/parcels
- Inputting payments onto the banking system
- Provide cover for topping up of ATMs and Change Machines
- Any other duties reasonably required within the capabilities
The Appointed Candidate will have:
- Experience of managing petty cash
- Experience of working within a school environment (Desirable)
- Knowledge of Microsoft Office (Specifically Excel)
- Knowledge of Safe accounting system (Desirable)
- A confident and professional telephone manner
- Accuracy in work with keen eye for details
- Ability to work to tight deadlines
- Good communication and organisational skills
