School Business Manager Job Description 

Term Time plus 10 days  

Salary- £35,000 - £39,000 per annum (Depending on Experience)  


 School/ Office Administrative Management  

Manage the School’s administrative functions; including telephones, email, reception, diaries, reprographics, records and ensure quality administrative systems that deliver outcomes based on aims and objectives of the School and the Trust and supports the school improvement plan.   

  • To manage Group call- sending messages to parents and staff 
  • To assist with ID verification  
  • To record and manage staff and pupil absences and report as necessary  
  • To oversee the day-to-day running of the office function.  
  • To ensure that the pupil database is kept up-to-date and Census returns to LA are completed on time.  
  • Responsible for ensuring all office staff e.g. customer service / being the 'face of the school' / in line with our school values e.g. respect 


Premises  

  • Ensure the safe maintenance and operation of all school premises.  
  • Ensure the continuing availability of utilities, site services and equipment.  


Health & Safety  

  • Follow sound practices in estate management and ground maintenance: ensure contractors follow instructions; Monitor quality of work by contractors.  
  • Management of facilities, including premises, lettings and liaising with external contractors (including plans in place to ensure security of site during holidays)   
  • Ensure a safe environment for the stakeholders of the school to provide a secure environment in which due learning processes can be provided.  
  • Ensure ancillary services eg catering, cleaning are monitored and managed effectively.  
  • To work in accordance with the H&S at work act, implementing and monitoring H&S activities in line with school policies, ensuring the safety of all stakeholders  
  • To act as the H&S lead role for the school, attending all mandatory training; health and safety, fire marshal and first aid for example.    
  • As acting H&S lead, to cascade policy changes, legislation changes/updates to all employees.    
  • Develop systems to ensure compliance with all H&S policies and procedures, reporting on concerns, risks and implementing actions to mitigate risks.    
  • Embed a culture of accountability and responsibility for H&S throughout all teaching and support staff, ensuring all staff are aware of their responsibilities   
  • Deal with outside bodies or contractors, planning work schedules and supervising work to ensure that it is carried out to the required standards and within the appropriate timescales.  
  • Ensure the Health and Safety Policy is implemented at all times, put into practice and is subject to review and assessment at regular intervals or as the situation or legislation changes.  
  • Ensure systems are in place for effective monitoring, measuring and reporting  


Human Resources  

  • Co-ordinate the administration of staff recruitment, including distribution of adverts, management of applications and ensuring new staff have DBS clearance, medical clearance and all staff have appropriate contracts of employment, issued in a timely manner.   
  • Generating interview questions and assisting with recruitment processes where required  
  • Maintain confidential HR records, including the Single Central Record.   
  • Facilitate the organisation of staff development for support staff and teachers.  
  • Arrange supply staff, including appropriate vetting procedures and ensure the accuracy of timesheets.   
  • Pulling out Sickness absence management data and any other data required by Head of HR 
  • To ensure that DBS checks for all staff are kept up-to-date.  
  • To be the first point of contact for all staff at the school on pay and contract related issues, liaising with HR and Payroll as necessary. 
  • HR admin tasks including generating HR letters e.g Maternity confirmation, sickness.  
  • Record Leave of absence on school system  
  • Any Adhoc duties requested by Head of HR. 


Financial Administration and Management  

  • To manage the ordering of all procurement 
  • To ensure additional hours and supply teachers’ claim forms are calculated, correctly authorised and submitted, and to monitor claim forms of other staff. 
  • To be responsible for the management of income generation, including school lettings and fundraising initiatives. 
  • To take payment for school funds such as lunches, nursery and afterschool fees etc · To support the management of debtors through reporting and contact with parents 
  • To work with external auditors where necessary. 
  • To be responsible for negotiating new contracts and to follow best value guidelines with regards to procurement of such contracts. 
  • Ensuring Supplier database is up to date 


Miscellaneous 

  • Compliant with GDPR / Data protection policies  
  • To be responsible for ensuring the school’s letting policy is up-to-date.  
  • To issue/raise invoices for the hire of premises.  
  • leadership and management of the SMSAs and lunchtime supervision and arrangements
