Main Purpose of the Job

As an associate member of the Senior Leadership Team the Chief Administrative Officer works closely with and assists the Headteacher and SLT in managing and leading day-to-day running of the school and strategic development of the Academy Trust. 

The Chief Administrative Officer maintains a strategic overview of finance, with the Trust’s finance consultant, and works closely with the Headteacher to ensure strategic and effective management of Human Resources, the school site in relation to Health & Safety, ensuring excellent customer experience and managing whole school communications (e.g. School diary, Twitter and website).

Main Responsibilities and Tasks

Under the leadership of the Headteacher and the SL, the Chief Administrative Officer is to share responsibility to Trust Board for effectively leading and managing the school to the highest possible standard and in line with our core values of excellence, respect and integrity.

This entails:

• Leadership of the school’s finance function with the Finance Officer and Finance Consultant

• Leadership and management of Human Resources with the Head’s PA

• Effective leadership and management of all aspects of the site in relation to Health & Safety. 

• Overseeing school policies and procedures consistent with the requirements of the Academy Trust Handbook

• Responding effectively to changes and challenges that arise from developments in national and local policy and practice.

• Leadership and Management of administrative functions within the school

• Ensuring excellent customer experience on a daily basis through the smooth operation of the school premises

• Leadership and management of the school’s communication and marketing strategy 

Specifically, under the leadership of the Headteacher, the Chief Administrative Officer is to:

A Strategic Responsibilities

Resources

o Ensure the school makes the best possible use of resources through effective strategic planning, including consideration of all financial implications. 

o Produce timely and fully costed proposals ensuring they are sustainable.

o Understand the effects and implications of government policies, legislation and directives, and develop effective strategies for current initiatives and long-term educational trends and developments.

o Negotiate, manage and monitor contracts, tenders and agreements ensuring ‘best value’ at all times

o Ensuring that all procurement and purchasing is in line with the requirements of the Academy Trust Handbook

Risk management

o Acting as the main point of contact with the Risk Protection Agency (RPA)

o Maintaining the Risk Register and presenting this termly to the Trustees’ Risk Resources and Audit Committee

Finance

o Maintain an overview of all aspects of finance across the school in conjunction with the Headteacher and Finance Consultant

o Provide information required for monthly reporting as per the Academy Trust Handbook to the Trustees, Headteacher and Finance Consultant in a timely manner

o Oversee the management of the school’s accounting and budgeting software

o Maintain the finance manual

o Ensure maximum efficiency and a cohesive approach across the school

B   Finance

o Prepare the monthly reports with the finance consultant and ensure all budget holders receive statements on a monthly basis

o Use financial management information, especially benchmarking tools, to identify areas of relative spending, assess trends and directly advise the SLT 

o Securing sponsorship funding as and when required using commercial flair

o Under the direction of the Headteacher to secure bid-based competitive funds by effective use of bidding systems and contacts when required (e.g. Thriving Communities Fund, CIF)

o Ensure full compliance with the Academy Trust handbook and ensure that all finance related policies are fully up to date and communicated with necessary stakeholders

o To be the link (with the Headteacher) between the external & internal auditors

C    Human Resources

o To carry out investigations on behalf of the Headteacher and be part of disciplinary and grievance panel/meetings

o To sit on interview panels as required in HR role

o Provide leadership and guidance for associate staff as agreed with the Headteacher, including direct line management responsibility where appropriate.

o Manage professional development, appraisal and training of Associate Staff with the AHT CPL. 

o To carry out Return to Work interviews and processes and to implement and carry out Management of Absence procedures and meetings, including referrals to Occupational Health and to carry out welfare meetings as necessary and stress risk assessments

o To be the school’s link with APL OH provider/employee assistance scheme

o Oversee the annual updating of HR policies in conjunction with the school’s HR advisers

D Premises, Health and Safety management

o Formulate, monitor and implement the school’s Health & Safety Policy to comply with the requirements of Health and Safety at Work Act and other legislation

o Manage and liaise with catering manager/chef regarding student food requirements for the school and to ensure that standards are met

Managing health and safety

o Act as the school’s Health and Safety Coordinator.

Premises:

o To line manage the Operations Manager to ensure the day-to-day smooth and efficient operating of the school site (e.g. establishment and monitoring of a helpdesk facility and site operation KPIs)

o With the Operations Manager, Headteacher and Trustees ensure that the principles of good estate management are enacted as per ESFA guidance 

o To oversee the Trust’s long term Estate Development Plan

E    Communications

o To lead the school’s communication strategy with stakeholders by ensuring that the school’s website is up to date and compliant

o To lead the school’s publicity and marketing strategy and ensure that social media is used effectively to celebrate achievement

o To be the link between the school and Future First as part of the development of the Old Lamptonians Alumni Network

o To plan and maintain the school’s diary

Lampton School is situated in the centre of Hounslow and serves a diverse catchment area. Lampton is a very popular school with over 1,400 applications for the 240 places on offer in Year 7 in 2024.

Located in central Hounslow, we are fortunate that our site contains a generous allocation of green fields. The school is well connected to Central London via the Piccadilly Line and south London via Hounslow mainline station. The A4 provides easy access by car to the M25, M40, M4 and M3 with staff commuting from outside of London. We also participate in the 'cycle to school' scheme for staff.

In May 2008 the school was judged to be 'Outstanding' by Ofsted. In May 2013, the school was inspected again and received an ‘Outstanding’ judgement. Our most recent Ofsted inspection, in May 2024, resulted in a further 'Outstanding' judgement. In 2011, we became one of the first Teaching Schools in the country and in 2016 we became a SCITT. These are known as the London West Alliance, with Lampton acting as the lead school in both partnerships. We now work in close partnership with Roehampton University as a teacher training partner.

The school is committed to the professional development and well-being of all staff. We have been awarded the ‘Hounslow Workload Charter’ with a dedicated workload champion on SLT. All staff have access to support through our employee support scheme - APL - giving access to on-line medical and welfare support.

Our examination results and students:

Our students consistently make progress which is significantly above the national average at GCSE and Post-16. Our 2022 & 2023 Progress 8 score of 0.55 is ‘well above the national average’ and at A Level our ALPS score places us in the 10% of providers over a 3 year period. Our students are lively and friendly with very good attitudes towards the work programme. Our school rules are very easy to remember and apply: we expect students to be ‘Ready, Respectful, Safe.’ We are very proud of their academic and social achievements and we are fully committed to the development of student voice.

Our facilities:

The school is located on a large, open site with extensive playing fields. There is a purpose built £1.9 million sixth form centre and a £2 million dining facility. Subject departments have their own specialist accommodation with associated work rooms for staff.

What are we looking for in staff to work at Lampton?

We are looking for staff who are committed to our core values and vision, which are outlined in the application pack, their own professional learning and who have high expectations of students in terms of their behaviour and attitude towards work. We are a uniform school and all staff are expected to actively support this policy. There is a staff dress code to which all staff adhere. Please take time to read the Code of Conduct for all staff. The professional learning opportunities for staff in our school are outstanding. A dedicated one hour Continuing Professional Learning (CPL) session is part of the timetable each week for all staff. This CPL programme, led by members of staff at all levels, enables staff to construct a programme which is personalised and matches their PM targets. We have used Blue Sky to manage the PM process.
