Set in a beautiful 45-acre Surrey site, the school enjoys excellent facilities and an aspirational learning environment. Main Purpose of the Job  

The Sixth Form Registrar is responsible to the Deputy Head (Pastoral) for the management and administration of the sixth form application process, from initial enquiry, through the application and interview process, to enrolment into the school.

Main Duties and Responsibilities  

• Liaise closely with the Deputy Head (Pastoral) on sixth form admissions matters. 

• Liaise with the relevant staff to create the Sixth Form joining pack. 

• Maintain Sixth Form admissions information on the website. 

• Input data into SIMS. Check and maintain the database of all students applying to the Sixth Form and manage the archiving of data. 

• Assist with the organisation of the prospective Sixth Form Open Evening in conjunction with the Head of KS5 and the Marketing and Communications Manager. 

• Plan and organise Sixth Form applicant tours and appointments for prospective parents and their children to visit the school including pastoral and academic interviews as required. 

• Respond in a timely fashion to all enquiries from prospective students regarding admission into the Sixth Form and acknowledge all applications upon receipt. 

• Ensure all paperwork for prospective applicants is complete and verify the documents, including references and proof of eligibility, to ensure that fraudulent applications are not being made. 

• Liaise with the Deputy Head (Curriculum) and Head of KS5 on academic matters during the admissions process. 

• Liaise with the Bursar’s office and the Development Office with reference to bursaries granted by the Foundation, awards granted by the Gordonians and any other matters pertaining to charity funding. 

• Liaise with Heads of House about availability of residential spaces and study rooms. 

• Prepare and send all letters to parents of external and internal applicants to the Sixth Form, informing them whether or not their child is being offered a place and any conditions. 

• Collect UCI and URN/UPN numbers for all Sixth Form students and liaise with the Examinations Officer. 

• Allocate enrolled students to Houses and Tutors in conjunction with the Assistant Head (Pastoral). 

• Maintain daily updated information of all prospective and current students and produce reports, including waiting lists, trends etc as required. 

• Attend admissions meetings with SLT.  The above list of duties and responsibilities is not exhaustive and may be altered from time to time.

Special Factors 

• This role requires attendance at open mornings and open evenings for which time off in lieu will be given. 

• After GCSE results day sixth form admissions is very busy, therefore, leave would not be able to be taken during the last two weeks of August and the first week of September.  Person Specification Relevant Experience/Knowledge  

• Good knowledge and demonstrable experience of Microsoft Office is essential 

• Demonstrable experience of using databases is essential 

• Demonstrable experience of producing and analysing reports is essential 

• Good organisational skills and ability to prioritise workload 

• Experience of SIMS is desirable  Personal Skills  

• Good interpersonal skills and ability to communicate effectively, verbally and in writing

About Gordon's School

Gordon’s is a non-selective, co-ed, 11-18 school of circa 1000 students.  Unusually for a state school it offers residential boarding facilities to 280 students. Founded in 1885, its historical links with General Charles Gordon have shaped the ethos and sense of tradition that is present within the school today.

Gordon’s places a strong emphasis on standards, academic success and high expectations. Great importance is placed on the quality of teaching in the classroom because of the belief that schools are first and foremost centres for learning.

In the sixth form there are over 350 students taking BTEC and A Level courses.  There are five residential boarding houses and six day boarding houses for students. This allows for a high level of care and individual support, excellent staff/student relationships, backed by a structured learning and teaching environment, with high standards of courtesy and self-discipline.

In the school there is a wide variety of sporting and co-curricular activities. Daily over forty clubs offer a range from traditional games, rock-climbing and horse riding to tap dancing, music and drama. The Combined Cadet Force and The Duke of Edinburgh's Award Scheme are particularly popular and successful. One unusual feature is the marching Pipes and Drums band, which plays at ceremonial occasions at school and for outside events, when the students wear their ‘blues’ - a form of military uniform featuring the Gordon’s tartan.

School facilities are excellent and include over fifty acres of playing fields, a state-of-the art fitness centre, sports hub including all-weather pitches and coffee shop, and refurbished music and drama block.

The school is situated in fifty acres of Surrey parkland a few miles from the M25, M3 and M4 motorways. Day boarders come mainly from the local villages of West End, Chobham and Lightwater.  Residential boarders come for all parts of the United Kingdom and around ten percent from overseas.

The Ofsted Inspection of November 2014 reported, “Gordon’s is an outstanding school in every respect”.  Ofsted inspected 27 areas, 26 of which were given grade 1. In particular: -
