Job overview

To have overall responsibility for the schools information management system at Undershaw, servicing the school’s assessment/data analysis and handling needs.

Site: Undershaw and Tower Road sites

Annual Salary: Competitive – in line with skills and experience

Hours: Full time term time plus Inset days

Terms: Permanent (6 months probationary period)

Responsible to: Head of Education


Duties & Responsibilities


Assessment & Reporting

• Designing aspects and grade sets, designing templates and mark sheets, as well as maintaining them and designing and processing reports. 

• To support teaching colleagues in the inputting of assessment data; 

• Co-ordinate collection of data and check completion and accuracy of data for production of tracking reports and distribution to parents;

• Production of reports for Senior Leadership Team, Heads of Faculty and Heads of Subject and Governors including the analysis of examination results and other assessment data.

• To produce the data required for Inspections or Audits.

• Assist with report print runs and distributing reports to parents;

• To input student data, set up sittings and generate reports for CAT4, PASS and NGRT.

• To be responsible for the production of summary and statistical analysis following student assessments.


Safeguarding

• Set the highest standard of example in terms of safeguarding and professional behaviours in line with the most up to date guidance, including KCSIE and WTTSC and supporting with embedding these within the culture of the school


Examination Administration

• To support the Exams Officer with undertaking all Exams administration ensuring deadlines are met and that all exams related paperwork, documentation and certificates are administrated in line with requirements.

• To be available for Results Days and assisting with results admin, re-marks and related events.

• To oversee the administration of internal assessments and examinations and related data.


Academic Management

• Liaison with key staff with regards to student classes and sets 

• Assisting with the administration of Options;

• Production of staff and department timetables;

• Input class/set data for production of timetables;

• Production of class lists;

• Creation of new student timetables;

• Updating student/staff timetables;

• Liaison with key staff throughout the year for any changes to staff/student timetables.

• To ensure that the Pastoral Support Assistant timetable is up to date and reflects any staff changes in days or hours

• To share weekly reports about House Point totals with staff.

• To assist with sending communication to parents via SIMS if needed.

• To be responsible for the maintenance of Education and SEND records and data reports, pupil files, including EHCPs and specialist reports and to oversee pupil file transfers and the maintenance of archived pupil records and academic data in line with GDPR requirements.


School Information Management System

• Maintenance and update of the school database (SIMS);

• Input data for new admissions 

• To ensure the census data is submitted correctly.

• To liaise with relevant staff to ensure that SIMS records for all students are up to date and include key information such as medical details, pupil premium eligibility, and contact details of all adults and agencies involved with the child.

• To complete relevant training to ensure that we are making best use of the system across the school.

Other

To carry out any other duties as identified by the Acting Headteacher commensurate with the grading and level of responsibility of the post.

Person Specification

Essential Desirable

Education and Experience • Good literacy and numeracy skills

• Experience of working with SIMS

• Proficient in Microsoft Office products, particularly Word, Excel and Power point

• Experience of working in an SEN school environment

• Understanding of the use of performance data in schools

Knowledge, abilities, skills and experience • Good communication skills both written and verbal

• Conscientious with good attention to detail

• Ability to liaise effectively with colleagues

• Ability to think creatively and problem solve

• High professional standards, judgment, discretion and ability to maintain confidentiality.

• Experience of drafting and producing accurate documentation and reports and meeting deadlines.

• Evidence of excellent digital skills • Awareness of safeguarding and child protection issues (Full training will be given in this area)
