Job overview

This role is a permanent, full time position, term time only plus three weeks (of which dates would be agreed with the Director of Teaching and Learning). We require the role to start as soon as possible. 

This position will report to the Director of Teaching and Learning and will have responsibility for managing and developing the Management Information System for Abbey Gate College. Working alongside academic and support staff circa 120 (across two sites – the Senior School and Infant and Junior School). The role will include managing and developing the academic function. The College are currently using WCBS, PASS/ 3Sys and SharePoint systems. The role will have responsibility for continued improving and developing of such systems.  

Key Responsibilities of the post-holder will include:  

  •  Managing, maintaining and developing the College MIS (Management Information System) – i.e. PASS/3Sys
  •  Developing and maintaining SharePoint (the current workflow function) and the systems running on it (workflow, document management and data analysis dashboards)
  •  Linking the systems to extract data from the MIS and use it within SharePoint, SISRA Analytics and other systems as required
  •  Managing, supporting, updating and assisting staff with the Pupil Monitoring System including Progress Records, Reports, Tracking and Interventions
  •  Reporting and analysis of examination and assessment results
  •  Assisting with baseline testing and data import as required
  •  Perform and assist in the advance diagnostics and resolution of the network infrastructure, software and hardware faults as required. 
  •  Import, maintenance and publication of Timetable to PASS from Timetabler software
  •  Managing Subject Set lists and assisting with the Options process
  •  Maintaining and updating workflow processes including staff absences, room and event bookings using SharePoint and/or other systems as required
  •  Inputting staff, student and other contact data onto PASS/3sys as required
  •  Setting up new users and updating access permissions in PASS/3Sys and SharePoint

 Provide back up for maintenance and development of PASS data base systems. 

  •  Manipulating and updating AGC databases and create new reports where required using relevant programming skills
  •  Assisting with annual census and other data returns
  •  Publishing reports to parents on the VLE (Virtual Learning Environment)
  •  Acting as technical and procedural point of referral, providing training where necessary, to support and develop the skills and knowledge of colleagues
  •  To manage and implement or assist the installation of all new computer software
  •  To ensure that system recovery processes are robust including management of appropriate back-up regimes and virus protection. 
  •  Creating and maintaining support documentation as and when required
  •  Supporting the ICT Support department, Examinations Officer, Attendance Officer and other departments as required
  •  Any other duties as required

Person specification: 

The person appointed should show and demonstrate the following skills and qualities (and qualifications where necessary): 

Essential: 

  •  Minimum GCSE grade A-C (or equivalent) in Mathematics and English
  •  Significant experience of working with relational databases including SQL and ODBC is essential
  •  Advanced level experience of using Microsoft Excel spreadsheets (including Pivot tables, Macros and Queries)
  •  Very strong IT skills and proficient in using Windows and all Microsoft packages including Word, Excel and Outlook
  •  Experience of document and workflow management systems

 Be highly organised with the ability to prioritise workloads successfully

 Ability to work to tight deadlines

 High attention to detail 

 Methodical approach to work including a logical approach to problem solving

  •  Excellent communication skills both written and verbally and to all levels of staff
  •  Caring, supportive and willing to adapt their teaching to suit the needs of the staff
  •  Calm under pressure
  •  Ability to learn quickly and adapt to change effectively
  •  Ability to work independently or as part of a team is essential
  •  Have a positive ‘can do’ attitude to working

Desirable: 

  •  Knowledge of using WCBS PASS software is an advantage but not essential 
  •  Experience of working in a School/College environment desirable but not essential

This position is full time, term time only plus three weeks (to be agreed with Director of Teaching and Learning, but likely to be at least the last two weeks of the summer holidays in August)
