I look forward with excitement to starting as Head in the Summer Term 2023. Crosfields does not stand still. This one time all boys Prep School, heralded the arrival of its first girls in 2007, and a Year 9 cohort in September 2021 as the school’s plans to extend to 16 became a reality.

Supported by considerable investment in the infrastructure, the ambition is to keep the wonderful tone and atmosphere of our Junior School marrying it with the ambition, challenge and opportunities appropriate for our older pupils.

About the role

Reporting to the Head, the Executive Assistant will provide an organised and effective Executive Assistant service to the Head and ensure a friendly, effective, and highly professional service is provided to all. 

Job description

Weekly

  • Keep electronic diary up to date and ensure School Office is aware of all expected visitors
  • Add all key events and meetings from the School calendar to the Head’s calendar Organise any meetings as requested by the Head
  • Confirm external diary appointments the day before expected visit
  • Prepare supporting paperwork/files ahead of meetings and interviews as required
  • Field telephone calls and manage post on behalf of the Head
  • Meet weekly with the Head to review the week and confirm diary for following week
  • Book rooms, catering and IT for meetings and events
  • Take minutes at SLT meetings, SENDA meeting, key parent meetings and other important meetings as required
  • Take notes from staff briefings on Friday and circulate to all staff before the weekend
  • Draft correspondence for the Head as required
  • Oversee Conference Room bookings and ensure priority is given to the Head where necessary
  • Proofread key correspondence sent out for the school as required
  • Support the Head as sensitive situations arise, always maintaining a high level of confidentiality

Termly

  • Proofread the Head’s reports
  • Support preparation of Head’s Report to Governors
  • Maintain roster of professional development records for teaching staff and arrange meetings with Head as appropriate
  • Collate updates to School Development Plan and other management plans
  • Co-ordinate School Council meetings, taking minutes and circulating feedback as required
  • Liaise with appropriate staff to complete Head’s references as required
  • Support Bursary Awards Committee – prepare profiles, reports and award letters. 

Ongoing

  • Co-ordinate the Whole School Calendar and upload to Parent Portal
  • Publish weekly look ahead to staff Agree and publish term dates
  • Co-ordinate school events as required
  • Collate informal and formal parent complaints
  • Liaise with Admissions Team and oversee administrative processes around pupil leavers
  • Complete expenses and credit card statements on behalf of the Head, liaising with Finance Team as necessary
  • Arrange any travel as required by the Head (minimal)
  • Collate SLT whereabouts for holiday periods and ensure phones are covered
  • Support with implementing and maintaining procedures/systems as required as the School expands
  • Administrative support for the Bursar


About you

Experience and Skills

  • A high degree of computer literacy is desired (particularly Microsoft Office applications and Office 365
  • Strong organisation skills and the ability to prioritise and manage several tasks at once
  • Excellent literacy, numeracy, and proofreading skills, with an eye for detail and accuracy
  • The ability to deal with a variety of people and situations
  • School experience and knowledge of school systems are desirable but not essential

  • Discretion and trustworthiness: you will often be party to confidential information
  • A flexible and adaptable approach to work to support school events such as Parents Evenings
  • The ability to be proactive and take the initiative 


In addition, you may also be expected to assist with any other duties as may be reasonably required and commensurate with the post from time to time as directed by the Head.

Crosfields School is a co-educational, independent day school for pupils aged 3 to 16. Located near Reading, Berkshire, it accommodates approximately 625 pupils.

Founded in 1957, the school is now run as a charitable trust under a single governing body.  In 2021 the school created two distinct areas, the Junior School which encompasses all year groups from Nursery to Year 6, and the Senior School for Years 7 to 11.  New for the 2021/22 academic year is a brand new Senior School building which provides an excellent setting for older students as the school extends to 16 and it will enjoy its first cohort of GCSE students in 2023.

Vision and values

First and foremost, the school aims to create an environment where every child is safe, happy and supported. It strives to offer a curriculum that is varied enough to allow every unique individual to discover their talents. Teachers encourage children to put in the effort and be resilient. They hope to give pupils the ability to be independent thinkers who challenge and enquire.

Numeracy and ICT skills are especially good at this school, along with reading.  Creative subjects such as design and technology and art are another focus. The curriculum as a whole gives pupils experience in linguistic, mathematical, scientific, technological and social areas, as well as physical education.  Extra-curricular activities range from golf and fencing to Forest School and chess.  School trips are also organised to broaden pupils’ horizons.
