The main purpose of this role is to provide professional sensitive confidential and effective services to support the Principal in order to ensure that he can make the most effective use of his time and his ability to delegate non-academic work to a trusted and knowledgeable assistant.    

Key responsibilities and objectives of the job 

   

The post holder will provide direct executive support tailored to the needs, expectations and ways of working of the Principal. This will require the EA to work flexibly to the needs and priorities of the Principal which may well be subject to constant change and unpredictable patterns of working.


  • To act as the Principal’s confidential Secretary and Executive Assistant, maintaining and managing their diary and appointments and receiving/dispatching telephone, letter and email      messages (and using any new technologies to support administration) to ensure smooth arrangements for day to day operations are in place
  • Receiving visitors on behalf of the Principal including acting as the Principal’s representative at some meetings when the Principal is unavailable or unavoidably detained
  • To provide administrative support to the Principal regarding liaison with parents and other external parties both by telephone and in writing regarding student issues
  • Prepare correspondence on behalf of the Principal i.e. letters, reports etc. to professional business standards using the preferred communication style of the Principal in such a way as to relieve the Principal of day to day drafting of repeat/routine correspondence
  • To identify, record and store confidential items securely and to give advice to staff in the administrative support areas on the systems and standards for so doing. 
  • Organise and service meetings as requested by the Principal. Arrange venues and related admin tasks in respect of meetings and conferences, ensuring the necessary papers and      documents are immediately available. Take minutes at meetings and circulate them in a timely fashion
  • Communicate with teaching, professional support staff and students in respect of      appointments or messages to and from the Principal
  • To take charge of the Principal’s incoming mail, ensuring all relevant mail is brought to the attention of the Principal and/or delegate responsibility for dealing with mail to other staff across the school as appropriate. 
  • Provide administrative support or ensure that such support is provided by the most      appropriate staff member from the team for other members of the leadership      group as required
  • Lead the organisation and preparation of school events and publications as required
  • Deal effectively with media communications
  • Developing administrative processes and supporting the Principal in the day to day      management of the Academy
  • Ensure the Principal is briefed for all meetings with relevant correspondence,      documents/presentations and in the Principal’s absence refer matter to the relevant member of the Senior Leadership Team for action
  • Update the school website
  • Provide support at after school events
  • Other reasonable duties as required by your line manage

Haberdashers’ Aske’s Hatcham College is a mainstream, co-educational, all-through school for children aged 3-18, situated in Lewisham, south-east London. This specialist music and ICT college has been rated as “outstanding” by Ofsted. There are 1,800 pupils at the school.

“By the time pupils join Year 7, standards in reading, writing and mathematics are above average. The proportion of pupils making and exceeding the expected levels of progress is also much higher than found nationally. The proportion of pupils attaining higher than expected levels is also rising.” 

“Students make exceptional progress in Key Stages 3 and 4. For each of the last five years, the proportion of students gaining five A* to C passes, including English and mathematics, has been well above the national average. A recent relative weakness in science has been tackled effectively and, this year, the proportion of students gaining A* to C passes in all subjects is on course to be well above average. The college no longer makes early entries to GCSE examinations.”
