The Duke of York’s Royal Military School is looking for a Facilities Manager to oversee the day to day running of caretaking and maintenance of a unique secondary full boarding school in Dover. The role would suit someone with extensive experience within facilities management, excellent all-round knowledge of M&E and good administrative skills.
The key objective of the Facilities Manager’s role is to manage and be responsible for the activities carried out by the School Maintenance Team, the Grounds Team, and sub contractors. Ensuring that the internal and external school facilities are available, fully functional, Health & Safety compliant and aesthetically pleasing.
Duties/Key Responsibilities
• Direct line management of a caretaker/carpenter, 2 further caretakers, 2 plumbers, 2 electricians, 2 painters, a handyman, a porterage/laundry person, 2 administrative assistants as well as 3 Grounds Maintenance Team members.
• Oversee all site team activities and ensure that all the site team job descriptions are fulfilled.
• Programme, arrange and delegate PPM duties within the remit of the team. Monitor satisfactory completion and report back.
• Ensure that regular daily duties are undertaken by the site team and monitor performance.
• Ensure that reactive requests are carried out by the site team within SLAs and to a good standard.
• Programme, coordinate and oversee backlog maintenance programme where within capabilities of the team.
• Ensure callout procedures are in place and complied with.
• Oversee Health & Safety compliance of activities undertaken by the site team.
• Managing new works including getting quotes from contractors, arranging access, and overseeing and signing off works.
• Ensure site team wear correct uniform, ID badges and PPE.
• Co-ordinate work programmes.
• Liaise regarding planned works for onsite teams and external service providers to ensure uninterrupted smooth running of facilities and avoid resource wastage.
• Liaise with School personnel.
• Look for continual improvements and savings to the services provided.
• Arrange for external service providers to be signed in, escorted, and supervised by the site team where necessary.
• Monitor and document timekeeping, sick leave, performance and other absences.
• Approve and co-ordinate annual leave to ensure sufficient resources available to fulfil contractual requirements, revise shift patterns accordingly to ensure adequate cover at all times.
• Keep records in line with agreed procedures for logging completed PPM and reactive requests.
• Monitor stock equipment levels and advise when more required, working within budget.
• Record incidents, accidents, and near misses via internal Health & Safety app.
• Contractor monitoring, including sign off of works completed by contractors.
• Report damage to the School efficiently using photographic evidence and recharge costs to the School or student where necessary.
• Monitor site team levels of customer care.
• Deal with complaints regarding individual’s performance or the standard of completed jobs in line with HR policies.
Skills Required
• Good IT skills and good understanding of MS office package including Word, Excel and Outlook.

Salary: DOYRMS salary range £34,546 to £41,867 per annum. Full-time position, working 37 hours per week, but will require the postholder to work to suit the needs of the business including being on call. Accommodation would be available on site for a rental charge i.e., Family 3 Bed House with garden.
