Job overview

The key focus for this varied role is to ensure all tasks relating to fundraising admin and financial management are completed in an accurate and timely manner. An additional important element is liaison with donors so we would wish for the post-holder to be confident in fostering such relationships. There is an opportunity to become involved in the wider life of the school through supporting the general admin and reception team.

Key responsibilities of the post

● To provide an effective and professional finance support service to the school.

● To record in an accurate and timely manner all income and expenditure related to fundraising.

● To provide financial reports to the Business Director, Finance Manager and Fundraising Lead.

● To provide administrative support, in particular to the Fundraising Lead, supporting them in fostering good relationships with donors.

● To provide Reception cover as required.

Specific tasks to achieve the above

Finance

● Ensure that all income and expenditure related to fundraising and the associated funds generated is properly recorded on Sage, Beacon (the school’s fundraising database) and relevant spreadsheets.

● Assist with procurement, in particular where it relates to the school’s fundraising activities and associated expenditure against funds generated.

● To provide full Purchase Ledger / Sales Ledger support as required in the absence of other finance staff.

● Provide administrative assistance as required to the Finance Manager and other finance staff.

● Prepare monthly reports on fundraising income and expenditure, clearly showing transactions against each fund and the fund balance.

● Prepare forecasts related to fundraising income and expenditure.

● Track reporting requirements for funds and produce reports for donors on expenditure against their donation as required.

● Record and track donations which have been pledged to, or received by, third-party organisations such as the Lead Education Sponsor.

Fundraising Administration

● Providing administrative support to the Fundraising Team.

● Maintaining and updating the Beacon fundraising database ensuring it remains an accurate and up-to-date record of supporters and their associated donations.

● Ensuring that all donors receive the information about the usage of their gifts in an appropriate, and timely manner.

● Supporting the delivery of fundraising campaigns e.g. direct mail, telephone, mobile and online.

● Maintaining and updating the Support Us section of the School website in conjunction with the Fundraising team.

● Serving as the first point of call for telephone and email enquiries from donors.

● Helping to organise a programme of events for existing and potential supporters.

● Helping to measure the success of such events, and implementing changes where necessary.

● Working with colleagues across the organisation to deliver a positive and effective supporter experience.

● Keeping fully informed about the developments and achievements of the School’s charitable vision.

Administration and Reception

● Provide efficient and accurate school administrative support as required.

● Maintain manual and computerised records/management information systems, inputting data accurately. Proactively perform housekeeping duties on the school’s management information systems.

● Provide cover for the Receptionist as required by answering incoming and internal switchboard calls, dealing with requests and enquiries and taking message.

● Safeguard students by ensuring that any visitors sign in and out of the site, are issued with visitor badges and understand the need to accompanied as per the school’s protocols.

The place for Academic rigour, LAE Tottenham is a 16-19 free school which opened in September 2017 in state of the art premises next to White Hart Lane stadium, offering academically rigorous A Level subjects.

The principal education sponsor, Highgate School, provides significant educational support, including seconded teaching staff. The business sponsor, Tottenham Hotspur Football Club, provides funding and employment links.
