Job overview

The Finance & Office Administrator will report to the Business Manager and support her with finance and payroll administration including processing supplier invoices and payments, raising sales invoices, distributing lunch vouchers and travel bursaries to eligible students, advising the outsourced payroll provider of monthly changes, keeping the single central record and staff files up to date and submitting returns to pension schemes.

They will also provide regular cover for the Administration Manager, staffing the visitor reception as well as managing emails to the school’s primary address and responding to telephone enquiries.

In addition, the role will assist the Outreach & Student Administrator with staffing the student reception. Duties include ensuring students are registered twice a day and following up on absences, answering student queries, supporting teaching staff in the main school building, keeping the student shop stocked, keeping the building tidy and proactively identifying and reporting any maintenance required.

The approximate division of time will be as follows:

  • Financial administration: 40%
  • Cover for Administration Manager: 30%
  • Student reception / other administrative support: 30%

Working hours are 40 hours per week, with exact hours to be agreed with the successful applicant to ensure that student reception is staffed from 08:00 to 18:00 on some days and 19:00 on others.

This post is an exciting opportunity for an individual who enjoys multi-tasking and working across a wide range of functions. The successful applicant should have excellent organisational and time-management skills and the ability to prioritise their workload to ensure that deadlines are met, as well as to work autonomously and take initiative. Excellent communication and interpersonal skills are also essential requirements. Experience of and qualifications relating to financial administration are desirable but not essential.

King’s College London Mathematics School is a state school for students aged 16-19 with a particular aptitude and enthusiasm for mathematics. It was opened in September 2014 by King’s College London in response to the government’s programme to improve the supply of good mathematicians, engineers, physicists and computer scientists into our best universities, and aims to provide challenging and stimulating teaching by outstanding teachers, especially for students who would otherwise not have access to this quality of teaching.
