Role:

We are searching for a Finance Assistant to join our friendly and supportive Finance Department. The successful candidate will be responsible to manage the cash requirements of the business, ensuring tight controls.

This job description is written at a specific time and is subject to change as the demands of the Collegiate and the role develops. The role requires flexibility and adaptability and the employees of the Collegiate need to be aware that they may be asked to perform tasks and be given responsibilities not detailed in this job description. 


Key Responsibilities include (but are not limited to):

  • Manage Petty Cash
  • Ensure sufficient cash is maintained at all times, including foreign currency and liaising with the external cash delivery company
  • Ensure that the petty cash records are kept up to date including Sage
  • Count cash received from various sources (pocket money, catering events, vending machines, charity collections, school shop, café)
  • Maintain the cash Machines and Change Machines
  • Responsible for topping up two ATMSs and four Change Machines
  • Liaise with maintenance company for repairs
  • Preparation and distribution of school bulk cash requirements
  • Prepare cash for student pocket money request
  • Prepare School Activities cash requirements and count the return of cash
  • Identify & pass to Bursar’s Administration student recharges and/or budget charges

 


Purchase Ledger

  • Assistant with coding, inputting & producing payment runs for month end supplier payments on Sage
  • Reconciling statements to supplier accounts
  • Updating, maintaining and reconciling supplier customer account & banking details

 

General Duties

  • Recovery of unpaid import duty on all letters/parcels
  • Collate staff phone bills and chase for payment
  • Inputting payments onto the banking system
  • Provide weekly, monthly MI for internal reporting purposes


The Appointed Candidate will have:

  • Experience of managing petty cash
  • Experience of working within a school environment (Desirable)
  • Experience of working with Microsoft Excel
  • Knowledge of Microsoft Office
  • Knowledge of Sage accounting system (Desirable)
  • Strong communication and organisational skills
  • Attention to detail and accuracy in their work
