Job overview

We are looking for an experienced Front Desk Receptionist to provide excellent organizational and administrative support in managing the day-to-day activities.

Key responsibilities:

·  To provide administration support for Head of Primary and Secondary School

·  To deal appropriately with requests from parents, students and teachers for information

Job description and specific duties:

·  Deal with enquiries from parents, pupils and teachers via direct contact, e-mails and phone calls, referring enquiries to the appropriate member of staff to deal with their query

·   Be available at the front desk to liaise with visitors regarding school matters

·   Translate school documents

·   Maintain records on pupil details, referring amendments to the relevant admin department

·   Sending of Primary & secondary school documentation (eg. letters to parents as directed by the Head Teacher)

·   Provide support in meetings where translation is necessary

·   To provide confidential administration support to the Head of primary & Secondary

·   To assist where needed with school activities and functions e.g. school fair, open day, parents meet, etc

·   To print out school certificates and reports (including student reports, letters and transcripts)

·    Prepare/type letter for parents whenever it’s needed

·    To liaise regularly and clearly with the administration manager to ensure consistency of communication and action across the whole school

·    Familiar with NSIS (ministry system) & provide support whenever it’s needed

·    Assist with students pick up

Attendance responsibilities:

·    To ensure that all registers are complete, and no missing marks or unexplained absences remain blank

·    To monitor the attendance of any ‘vulnerable’ students as identified from Head of Students, form tutor and the heads

·     To work with the heads and parents to promote attendance

·     To meet with the heads / year leaders to present and discuss attendance issues

·     To monitor, identify and contact students that have not returned to school

·      To oversee and, where necessary, support with students that arrive late or Students that sign-out during the school day

Qualifications:

• College or University graduate

• Minimum two years school experience

• Customer interaction in previous employment

• Familiar with NSIS (ministry system)

Skills and Knowledge:

• Strong interpersonal and communication skills in English

• Flexible; must be able to multitask

• Must be organized with handling documentation

• Computer-literate

• Quick learner
