Job overview

Purpose of the Role:

To ensure the continuity and effectiveness of Advisory Board (AB) business, by providing high quality confidential administrative support, working within the governance legislative framework. The governance for Park House School rests with the Trustees of Transform Learning Trust. However, the Trust wishes to delegate some of it powers to academy level.

Working hours:  The equivalent of 15 hours per term (6 terms per year and over 44 weeks per annum).

Remuneration: Scale Point 7 – 12 £20,092 - £22,183 full-time equivalent (actual salary will be pro rata). 

To be responsible for:

 Advising the AB on constitutional and procedural matters, duties and powers, ensuring compliance with governance legislation and the wishes of the TLT trustees. 

 Recommending good practice. 

To be accountable to the TLT Governance Professional and Company Secretary, working effectively with the Chair of the AB, the Principal and other AB members.

Key Responsibilities:

 To prepare and distribute timely agendas and ensure relevant papers are circulated for meetings, taking account of TLT and DfE issues.

 To liaise with PHS staff on the availability and set up of meeting rooms.

 To keep attendance records of AB members and to advise on appropriate action for absences.

 To advise the AB on governance procedural matters where necessary.

 To take notes of AB meetings in order to produce comprehensive and effective minutes, reflecting discussion and recording all decisions accurately and objectively with timescales for agreed actions.

 To maintain an archived record of signed AB minutes and papers, ensuring that copies are available for inspection.

 To keep abreast of legislation affecting Trust governance and current educational developments.

 To communicate relevant information to all AB members as required.

 To maintain records of AB membership and constitution details.

 To maintain all records and documentation relevant to PHS governance business, including standing orders, statutory policies, committee membership details and terms of reference.

 To ensure all policies are reviewed by the AB in a timely fashion.

 To ensure that a register of business interests is maintained (legal requirement) and updated annually.

 To provide advice on AB members’ periods of office and administer elections for Staff, Community and Parent AB members as directed.

 To perform all pre-appointment checks on new and re-appointed AB members.

 To participate in professional development opportunities relevant to the Job Description.

 To carry out any other reasonable duties relating to the post as directed.
