Job overview

The role of HR Assistant will support the HR Manager with record keeping and operational HR management within the School. This is a demanding and varied role, requiring the ideal candidate to have strong people skills, admin skills, resilience and a professional, conscientious and flexible working attitude.

Responsible to: HR Manager

Main responsibilities:

  • To support the HR manager in the delivery of an operational HR service to all staff.
  • To maintain appropriate HR systems for capture and management of recruitment, employee, volunteer, governor, self-employed, contractors and other HR data.
  • To ensure that all employee data and personnel files are secure, accurate, up-to-date and fully compliant with all relevant legislation.
  • To assist in delivering an end to end recruitment process including liaising with line managers, setting up vacancies, preparing adverts, job descriptions and person specifications, scheduling interviews, liaising with candidates, producing offer letters and employment contracts.
  • To administer the recruitment checking process for employees, volunteers, self-employed, agency staff, i.e. DBS checks, references, overseas checks, medical forms etc.
  • To administer activities associated with new joiners, leavers, and changes to employment status, advising payroll, IT and other key internal staff.
  • To support the HR Manager in planning inductions, probationary reviews, performance reviews and exit interviews.
  • To administer sign off sheets for staff code of conduct and Child Protection training for new starters and for update training for existing staff.
  • To help monitor sickness absence updating the relevant systems and advise Payroll.
  • To help provide management information as required e.g. sickness absence reports.
  • To carry out administration for the PDR process.
  • To display flexibility and take on additional tasks as required by the HR Manager.

  • Ability to be discreet and maintain confidentiality at all times.
  • Ability to remain calm under pressure.
  • Ability to display commitment, loyalty and enthusiasm for the role.
  • Ability to show initiative, be creative and maintain good sense of humour.
  • Ability to build strong working relationships with teaching and support staff.
  • Ability to prioritise tasks and meet deadlines.
  • Excellent IT skills.
  • Previous experience in HR, CIPD qualification desirable.

Salary & Benefits

  • The role is Monday – Friday, 8.30am – 4pm, 37.5 hours per week, including a paid 30 minute lunch break, term time plus 6 weeks, totalling 40 weeks per year. 
  • The salary will be £20,160 p.a.
  • School lunches are free to all staff, there is an employee benefit scheme, childcare vouchers, school fee remission (pro rata), use of gym facilities and parking on site.

The job description sets out the duties of the post at the time it was drawn up. The post holder may be required to undertake other duties within the school as may be reasonably expected, without changing the general character of the duties or the level or responsibility entailed.
