The role:

The Junior School Administrative Assistant plays a key role in the day to day operation of the Junior School. This role is often the first point of contact for current and future parents therefore a successful applicant will already possess excellent communication skills and telephone manner, with strong administration and IT skills. You will be interacting with pupils throughout the school and need to be able respond to them in an appropriate manner.

Key responsibilities:

Secretarial and Administration:

  • Man school reception desk and respond to enquiries from pupils, staff, parents and visitors.
  • Prepare and issue parent communication and mailings (via iSAMS
  • Manage incoming and outgoing post
  • Maintenance of staff resources in staff room and stationery cupboard
  • Prepare the report folders and associated parent communication for distribution
  • Handle general telephone and email enquiries
  • Assist in arranging school events e.g. parents evenings
  • Attend school events and functions as required
  • Assist with the school shop administration as necessary and liaise with parents with regard to uniform services
  • Provide administrative support to the School Administrator as required
  • Management and coordination of peripatetic music lessons
  • Administration of school bus service

Pupil Management and Attendance

  • Complete the attendance register – in accordance with current  school regulations
  • Collate lunch lists for pupils and staff
  • Prepare and manage pupil files
  • Maintain records of pupil medical and dietary requirements on ISAMS and provide information to staff.
  • Maintain records of clubs and after-school activities on ISAMS

Pupil Welfare and Pastoral

  • Administer first aid and care to pupils and contact parents if required.
  • Respond to parent complaints and concerns as appropriate
  • Maintain stocks of all first aid supplies
  • Play a proactive role in pupil safeguarding in accordance with school policies

  • Ability to prioritise and work well under pressure
  • Team player, able to work across levels, including senior management, parents and pupils.
  • Well presented, with welcoming manner
  • A professional and friendly communication style
  • Strong attention to detail and high levels of accuracy

Skills and Experience

  • Excellent knowledge of Microsoft Office, including Word, Excel and Outlook
  • Experience with database systems, preferably with iSAMS or equivalent (training in iSAMS can be provided)
  • Understanding on the day to day workings of an independent school would be beneficial
  • Proven organisational skills, ability to multi task and prioritise
  • Strong administrative ability combined with well-developed interpersonal skills
  • An appreciation of the importance of processing confidential information and working with respect for data protection.
  • Ability to relate and communicate appropriately to both parents and pupils.
  • Current paediatric first aid certificate (training can be provided)

Salary and Basis:

  • Location:  Churcher’s College Junior School, Midhurst Road, Liphoo
  • Responsible to:  School Administrator/PA to Head of Junior Schoo
  • Hours: 24 hours per week 8am – 4.30pm Monday to Wednesday (with ½ hour unpaid for lunch). Term time only including inset days (35 weeks).
  • Attendance at our Annual Open Day and Entrance Assessment Day will be required.
  • Some additional hours may be required in the school holidays and will be payable on a claims basis and agreed in advance with School Administrator/PA to Head of Junior School.

Pay: £9782 per annum (based on 20 hours per week, term time only plus 5 weeks paid holiday)
Holiday: Five weeks per annum pro rated to be taken during the school holidays.
Start date:  TBC and subject to DBS clearances.
Trial period:  Three months
Notice of Termination A written notice period of half a term is required for either the Employer    or Employee to reasonably terminate the employment Contract.
Pension:  The post holder is entitled to join the Local Government Pension Scheme.

History

The College was founded under the will of Richard Churcher in 1722, a wealthy local businessman and philanthropist who made his fortune through interests in the British East India company. Churcher decreed in his will, dated 1722, that the College was, ‘To educate 10 or 12 local boys from Petersfield, of any age from 9 to 14, in the arts of writing, arithmetic, and navigation so they could be apprenticed to masters of ships sailing in the East Indies’.  Churcher’s College was established as a non-denominational foundation under the terms of Richard Churcher’s will and has remained so ever since.

Richard Churcher died in 1723 and was buried in Funtington, the village of his birth.

Location

The original school accommodation was a beautiful 1729 building, which still stands in College Street, Petersfield. However, by the 1870s, pupil numbers had expanded substantially and additional space was required. An extensive new site was located close to the original College on Ramshill overlooking the town of Petersfield.

Churcher’s College continued to expand, in the twentieth century new buildings were added to the Ramshill campus including a new teaching block of 20 classrooms and the Sports Hall.  In 1993 Churcher’s College expanded its horizons to include younger pupils; Moreton House School became Churcher’s Junior School. More recently, the Junior School pupils were relocated to their own 14-acre site in Liphook.

Now Churcher’s pupils enjoy expansive and impressive accommodation over two campuses with acres of greenfield space with the backdrop of the beautiful South Downs National Park.
