Salary:  Grade 9, Point 25-33 (£34,059 - £40,150)

Hours: All year around, Monday-Friday, 8:00am-5:00pm

The Office & Marketing Manager is a middle-manager position within Ark Globe Academy’s Business Support Team. It is a highly social and technologically forward-looking role, combining office management, communications, and events management. The role requires a high level of independence as well as excellent teamwork. It is essential that the person for this role is super organised, admin savvy, excellent at multi-tasking, works flexibly, and has a ‘can do’ attitude. 

The role involves liaising with internal and external stakeholders on daily basis, as well as staying connected to the world digitally. You will liaise with a range of stakeholders including staff, students, parents, governors, and members of the local community.  You will work collaboratively with other Ark Schools to improve efficiencies and effectiveness and share expertise where required.

At Ark Globe Academy, marketing means showcasing and celebrating the achievements and successes of our students, staff, and the Academy as a brand. It is also about engaging with prospective parents and students, as well as building strong relationships with business and community partners. 

The person must have an enthusiasm to strive for operational excellence through the development and coordination of activities. It is a fast-paced job where no two days are the same. 

Key Responsibilities

• Develop and implement marketing and communications strategies that primarily focus on student recruitment and improving brand awareness, maximising the use of the academy’s information and communications technology 

• Continuously identifying and liaising with new partners, developing and maintaining relationships with community organisations and businesses 

• Develop and maintain an administrative calendar and timeline ensuring clear processes are in place to ensure the efficient running and monitoring of administration, and admissions, and that all actions are carried out in a timely manner 

• Coordinate the administration cover across the academy, ensuring you have taken into consideration all pre-planned events and absences 

• Develop a strong understanding of all administrative processes across the academy to effectively line lead the administrators across the academy and develop ongoing efficiencies, including updating and maintaining relevant handbooks and guides, ensuring effective and consistent guidance and information is delivered 

• Provide updates on new guidance and processes to team members and deliver ad hoc training where required 

• Deliver guidance and support to the wider academy on key processes  

• Establish a business-like office environment, ensuring excellent, consistent administration support and customer service is provided, ‘Our Promise’ is met, good relationships with staff are promoted, and you are consistently role modelling professional behaviour to lead by example 

• Efficiently manage filing and databases ensuring full compliance with GDPR and in line with our Data Retention Policy, utilising our management information system (MIS) i.e. Bromcom, and other platforms 

• Undertake and implement recruitment, induction, appraisal, training, coaching and mentoring of administrative staff, and rigorous performance management which ensures top quality performance from the administrative team including apprenticeship opportunities

• Acting as a gatekeeper, monitoring and approving all external communication materials to make sure of the consistency of our house style and in line with our brand guidelines 

• Oversee admissions across the academy, ensuring a timeline is implemented and deadlines are met, with a focus on increasing pupil numbers, smooth transition and accuracy of databases 

• Coordinate and manage a series of virtual and on-site events for Primary, Secondary and Sixth Form including open days, community fairs, careers events

• Oversee the digital strategy on behalf of the academy working closely with the School Business Manager

• Manage and monitor Academy’s social media accounts

• Support with income generation for the academy through fundraising, sponsorship proposals, pupil numbers and pupil premium

• Manage the free school meals entitlement and our online payment service ensuring debts are managed efficiently

• Be the lead first aider and fire warden, ensuring due diligence to Health & Safety, legislation and welfare for all staff, students, and visitors

• Maintain the brand guidelines and acting as the brand ambassador within and outside the Academy

• Work closely with the Friends of Ark Globe to plan and coordinate academy events and implement an adult learning programme 

• Carry out other reasonable tasks as directed by the Vice Principal – Business & Community, and the School Business Manager

• Liaise with colleagues and external contacts at all levels of seniority with confidence, tact and diplomacy, whilst maintaining confidentiality at all times

• Share best practice with the wider team and approach all tasks with a growth mindset

• Ensure the working environment is to a professional standard e.g. clear desk policy

• Take responsibility for the selection and management of resources, including management of a budget and regular audit of resources 

• Contribute towards the wider academy objectives and improvements 

• Support other operations when required 

• Carry out first aid duties and undertaking fire marshal duties, if and when required 

• Undertake exam invigilation duties, when required 

• Undertake morning and afternoon playground duties, when required

• Operate the cashless catering tills, when required

• Cater and set up for meetings and events, if and when required

• Be willing to undertake appropriate training in line with contractual duties 

• Be flexible in regards to working hours 

• Attend and support out of hours’ academy events e.g. summer fair, parents’ evenings

• This job description is subject to change with the agreement of the post holder

Qualifications

• NVQL3 or equivalent 

• Relevant qualifications in office administration and IT applications desirable

• Right to work in the UK

• Passion in all-things communication

• Experience in senior administration or office management within the education sector is desirable

• Experience of managing a wide range of projects, at different stages of progression alongside business-as-usual tasks 

• Excellent communication, writing, editing and proofreading skills

• Excellent organisation and time-management skills with an ability to multi-task and prioritising accordingly to meet all deadlines

• Able to accurately proof-read documentation for grammatical errors and have an eye for detail

• Forward thinking

• Team leadership and collaboration

• High level of proficiency and competency with Microsoft Office & IT programmes

• Experience in using various software’s and programmes is desirable

• Understanding of event and project management is desirable

• Able to build relationships with a range of stakeholders and anticipate others’ needs

In 2008 Geoffrey Chaucer Secondary and Joseph Lancaster Primary school merged to join the Ark network as Ark Globe Academy. Ark Globe Academy is a mixed all through school with student age ranging from 3-18.

Ark Globe Academy is divided into four small schools Elbrus, McKinley, Kilimanjaro and Everest, also each small school has a Dean.
