Job Description
The Operations Coordinator is responsible for overseeing the end-to-end delivery of Artemex programmes, facility rentals, and operational services, ensuring all activities run efficiently from onboarding through to execution.
This role heavily supports business growth through effective coordination, stakeholder management, and process optimisation.
We are looking for a highly organised, proactive individual capable of managing multiple operational streams at one time.
Since we are in the early stages of business growth, this role would be suitable for someone adaptable, eager to implement new processes, and comfortable working in a fast-paced environment. Experience working in a school environment with knowledge of sport would be advantageous.
Key Responsibilities
1. Facility Rental & Programme Operations
· Conduct background and due diligence checks before onboarding external providers to ensure all programs meet Artemex’s expected standards of quality and professionalism
· Conduct site inductions, including desired rental space and emergency protocols
· Create and manage schedules to support both facility rental and internal programme requests, optimising space for revenue generation
· Liaise with the Business Manager to arrange agreement contracts between AX and third parties
· Liaise with school facility teams and on-site supervisors to ensure school readiness for daily operations
· Oversee stakeholder management, including payment follow-ups, contract negotiations, event coordination, and facility requirements
· Liaise with finance and business management to ensure alignment with revenue streams across facility rental, partnerships, and internal programmes
2. Partnerships & External Vendors
· Liaise with the Business Manager to onboard third-party providers and ensure the required setup is available for the programme’s delivery
· Liaise with the Business Manager to arrange agreement contracts between AX and third parties
· Obtain and monitor all required documentation for both the third-party companies and the respective coaching staff
· Ensure consistent service standards across all off-site operations
3. Scheduling & Logistics
· Work collectively as a team to plan schedules across key areas of the business: facility rentals, after-school programmes (CCA), community activities, and events
· Coordinate housekeeping and operational support aligned with programme delivery
· Be on-site during CCA times; assist students and coaches during transitional times, and work alongside the Facility Supervisor to respond to any ad hoc requests to ensure smooth running of all operations
4. Human Resources & Compliance
· Support the onboarding process for internal employees and external coaching staff, and ensure all documentation is recorded, monitored, and up to date
· Manage the collection and maintenance of required company documentation for all registered vendors operating within Artemex, including those engaged through facility rental or partnership agreements
· Liaise with schools to ensure alignment with safeguarding standards, audit requirements, and operational procedures
· Implement Normal Operating Procedures (NOP’s) for the three core areas of the business: facility rentals, after-school programmes (CCA) and community activities, and continue to review and update
6. Maintenance & Facilities Management
· Communicate and coordinate planned and unplanned maintenance requests across all facilities
· Liaise with school facility teams to ensure safe and operational environments, and collect official Emergency Operation Procedures (EOP’s) from each site to share with respective staff members
