Job Title:  Personal Assistant to the Senior Leadership Team

Job Purpose:  The Personal Assistant to the Senior Leadership Team is responsible for the 

Administrative duties, communication, and diary management for the Senior Leadership Team. The role is primarily to assist them in being time efficient and to provide them with strong administrative and clerical support, enabling them in their roles to manage high-level day to day priorities and tasks as effectively as possible.

Reporting Line:   The Deputy Head 

Start Date:  October 2018

Hours:  Full time (with some flexibility during the school holidays)

Salary:  United Learning pay scale

Key Responsibilities:

· Be the first point of contact for parents, staff and pupils on behalf of the SLT, providing polished and professional communication and support for a variety of tasks 

· Manage and write correspondence for the SLT 

· Provide effective and time efficient diary management for the SLT

Assist in managing projects undertaken by the SLT, independently, with accuracy and to a high standard 

· Provide all necessary briefing papers, documents, reports and presentations and efficiently manage an effective ‘bring forward’ system; pre-empting requirements 

· Pick up and flag actions assigned to the SLT; proactively and thinking ahead 

· Organize and attend a small number of meetings (out of school hours) and produce and distribute informative minutes on a timely basis

· Ensure room bookings and catering arrangements are made for meetings as required

· Assisting with Results Analysis Meetings, Learning Reviews and producing reports and presentations

· Support the administration and hands on support of School events as requested

· Arrange and book travel and accommodation, producing detailed travel packs for conferences when necessary

· Oversee the CPD Programme for staff including the distribution and collation of Training Satisfaction surveys.

· Assisting with the publication of press articles for the School website, newsletters and Facebook

· Assisting with technical tasks and activities e.g. preparation of PowerPoint presentations, liaising with IT Support

Performing other duties as may, from time-to-time, be assigned, including, but not limited to ad hoc administrative duties within the School Office It is the nature of the work of Dunottar School that tasks and responsibilities are, in many circumstances, unpredictable and varied. All staff are therefore expected to work in a flexible way when the occasion arises and to undertake tasks which are not specifically covered in the job description.

Person Specification

The essential skills, knowledge and experience required are:

  • Responsible,      self-motivated and willing to be a role model to pupils and staff; reliable,      trustworthy and discreet
  • Ability to      collate and analyse large sets of data
  • Ability to      anticipate potential problems and remedy accordingly, and the ability to      bring solutions to the table
  • Maintain high      levels of confidentiality
  • Experience of      scheduling a busy diary and maintaining confidential systems
  • Highly developed      planning and organizing skills as well as a keen eye for detail
  • Ability to      maintain focus and work under pressure to achieve tasks within a demanding      environment with tight time constraints
  • Strong      communication skills both verbal and written; ability to liaise effectively      within and outside of the organization
  • Enthusiastic team      player, with strong interpersonal and problem solving skills
  • Accustomed to      working collaboratively within a busy office environment
  • Fast and accurate      typing skills
  • Highly flexible and      able to multi-task
  • Strong customer      service orientation and skills
  • IT literate, with      extensive knowledge of Microsoft Office software, including; Word, Excel,      Outlook, PowerPoint and databases
  • Degree-level      educated, desired
