Sevenoaks School is currently seeking to appoint a PA to the Executive Director of Advancement -Foundation.

This is a fixed term contract for 1 year, Monday to Thursday, 32 hours per week, all year round. 

The hours are flexible and shall be agreed at interview.

The primary responsibility of this new post is to provide day-to-day secretarial support to the Executive Director of Advancement and effective and efficient administration of the Foundation Office.

Reporting and Delegations

• The position reports to the Executive Director of Advancement (EDA) and works closely on a day-to-day basis with Foundation team members.

Responsibilities include:

• Managing the EDA’s diary, including arranging and coordinate internal/external meetings 

• Arranging all EDA’s travel and accommodation

• Managing all in-bound enquiries (phone and email)

• Assist in prioritising and coordinating EDA’s workflow

• Supporting the effective administration of all Foundation finance systems and processes 

• Assisting with effective and timely gift administration, including preparation of draft thank you letters from the EDA

• Administering moves management data entry on the Foundation’s CRM database 

• Assisting in the coordination of all aspects of EDA’s prospect and donor portfolio

• Assisting in the preparation of gift agreements and letters of intent 

• Assisting in stewardship of donors assigned to the EDA

• Undertaking prospect and donor research as required

• Attending meetings (internal and external) as required and take notes or minutes as appropriate

• Supporting the Foundation Team in the organisation and administration of all events 

• Assist in the preparation of Foundation Office reports for Trustees and Governors

• Assist in the administration of the Foundation Office, particularly stationery and supplies

The International Baccalaureate
