PA to the Headmistress

Princes Gardens Prep School are looking for a PA to the Headmistress who will;

• Be a leading ambassador for the school and uphold the values of Prince’s Gardens Preparatory School

• Carry out all confidential secretarial, administration and clerical duties relating to all aspects of the Head’s work

• Planning and managing the Head’s diary, appointments and reminder systems, ensuring that she is in the right place at the right time, with the right information, including making travel arrangements as required and all paperwork, documentation, presentations are well prepared for meetings

• Take minutes at staff meetings, governance and other important events as required and ensure that actions are dealt with appropriately and within agreed timeframes

• Be responsible for all the Head’s administrative filing and confidential personnel correspondence ensuring discretion and respecting confidentiality

• Organising special events, meetings and events

• Organising of hospitality for meetings/ events/ functions throughout the year to include refreshments for visitors to school

• Work closely with the admissions team to diarise, manage and host prospective parents

• Support email correspondence where necessary

• Use school databases (eg SIMS) to access confidential details for pupils/ parents on request and upload details from meetings

• Liaise with senior leaders and other staff concerning priorities, deadlines and procedures and support where necessary

• Organise and manage termly Community Liaison and PTA meetings

• Send out messages via Cognita Connect on behalf of the Head

• Support the weekly newsletter production via Microsoft Sway
