Job Title: Part Time School Administrator (Fixed Term until July 2023 with a view to becoming permanent)

Reporting to: PA to Head

Purpose of the Position

Assist the PA to the Head In a manner conducive to the successful day to day running of the school. Support with school and office administration provides support and cover for the PA and School Reception.


Responsibilities & Duties

The role itself is very varied and will entail:

  1. To provide efficient and effective administrative work across the school
  2. Support the Heads PA with the recruitment of new staff including; placing job ads and completing the relevant administration and paperwork for new starters. 
  3. Filing pupil and staff records
  4. Liaise with parents by phone, email, mail and in person, resolve queries as appropriate 
  5. Answer the telephone and take messages or direct calls onwards
  6. Support the Admission Manager to complete Admissions data input into ISAMs
  7. Support the Head’s PA in the management of the Heads diary and emails 
  8. Minute meetings as required including confidential staff or parent meetings with an expectation of timely return of minutes
  9. Organise hospitality for school events and meetings as required across all school 
  10. Cover reception duties via a rota to be front facing liaison with all school visitors in a professional and courteous manner
  11. Provide reprographics support as required 
  12. Provide cover for PA, Receptionist and First Aid and Medical Co-ordinator as necessary 
  13. Liaise with external organisations as required. 
  14. Undertake training and development relevant to the post.
  15. Undertake any other reasonable tasks as requested by the PA to the Head or Headmaster


Work Environment

Working at Kitebrook Preparatory School, 20 hours per week, during term time plus an additional 3 weeks throughout the year as determined by the PA to the Head.  There may be occasional additional hours, including on occasional Saturdays, to meet the needs of the school.
