Reporting To: Operations Manager and Headteacher

Salary:        Grade 6 - SCP 11 (£22,129 - 19 (£25,927) pro-rata

Contract type: Support staff, permanent, term time plus four weeks

Hours:        Full time 37 hours per week

Start Date:                     As soon as possible

Core Purpose:

To provide and coordinate a comprehensive and professional administrative service for the Headteacher and Senior Leadership team.  Owing to the type of role and varied day to day events, it is not possible to set out a full range of duties. The following is an indicative list and is not structured in an order of importance:

Complete all admin tasks for the Head teacher and SLT . 

Maintain Headteacher and SLT calendar / diary. 

To maintain the Enquiries and Headteacher mailbox.

Preparation each term for the Head teacher’s Report to Governors document.

Communicate the School Calendar to students/parents, staff, governors and related external agencies. 

Plan and prepare Pupil Planners for printing in time for distribution at the beginning of the Academic Year. 

Plan and prepare staff planners for printing and distribution at the beginning of the Academic year. 

Working with SLT and ICT support to Maintain the school website ensuring that the statutory information is kept up to date. 

Maintain and store electronic and paper files for Headteacher and regularly liaise with Technicians to maintain security within the areas. 

Liaise with external agencies on behalf of Headteacher and SLT. 

Organise refreshments and meeting space for Headteacher and SLT as required and provide refreshments where necessary.

Cover Management 

Responsible for organising the daily cover arrangements for those teachers/teaching assistants who are not available for their normal teaching commitment. 

To take all calls from absent staff each morning and report to Headteacher.

To assist in ensuring the daily cover system operates equitably and fairly and to keep records for staff inspection of the cover done. 

To engage supply teachers/teaching assistants for the purpose of covering unavailable staff.

To update Staff Absence system, monitor staff absence and inform Headteacher when issues arise.

To liaise and co-ordinate with the Examinations Officer regarding room and cover requirements during assessment / Exam periods. 

To treat information relating to absence of staff in strictest confidence. 

Undertake back to work interviews and liaise with the Head of HR on any issues arising.

School Trips

To be the Educational Visits Co-ordinator.

Work with trip leaders on risk assessment, logistics and communication with parents.


Additional Duties

To actively model and promote the values and ethos of the school and Trust.

To comply with all relevant Trust policies and procedures.

To maintain confidentiality in all matters.

To identify opportunities to introduce new technologies and processes to improve systems and ways of working.

To actively participate in relevant Trust processes including performance management.

To undertake relevant CPD as agreed with line manager and to attend relevant meetings.

To work collaboratively across the Trust.
