The School

Sevenoaks School is an independent co-educational School for circa 1060 pupils of whom about one third are boarders. The School is situated in the older part of Sevenoaks town, with the main campus flanked on one side by the Upper High Street and stretching on the other towards the attractive expanse of Knole Park.

The Team

The Personnel team includes the Director of Personnel, Personnel Officer, Payroll Officer, Payroll Advisor, and this current vacancy.

The Role

From September 2016 we have a vacancy for a full-time, all year round Personnel & Recruitment Co-ordinator to fulfil a busy and varied role in the school Personnel team.

Key Responsibilities

The Personnel & Recruitment Co-ordinator is responsible to the Director of Personnel but also has to work closely with the Head’s PA in matters of processing teaching staff job applications. In addition the Personnel & Recruitment Co-ordinator must work closely with the other members of the Personnel team.

Duties will include, but not be restricted to, the following:

  • Responsibility for the Single Central Register (SCR), keeping it up to date at all times in an accurate manner. (This covers all staff, volunteers, governors, self-employed staff, contractors etc.) In addition, keeping all associated records up to date at all times, and keeping other members of the team informed of concerns ahead of time, in order to prevent any regulation breaches. This will involve processing all of the required recruitment checks including Disclosure and Barring Service applications, Barred Check Lists, Section 128 checks etc. in a timely manner to allow staff to start within an agreed timeframe. Part of this involves keeping up to date with the changing regulations, highlighting appropriate changes and agreeing the implementation of these with the Director of Personnel and the Personnel Officer. Note that it is imperative that no individual should start working at the school without having fully completed all of the required checks and it is the responsibility of this role holder to ensure that this is the case.
  • Dealing with the entire range of administration of all non-teaching staff recruitment from advertising to appointment, including updating role specifications, arranging interview programmes, sending reference requests before interviews, verification of references, co-ordinating interview invites and tests, processing replies and preparing contracts of employment. This will include using an on-line system to place vacancies and manage applications, as well as placing adverts on-line and into publications. In addition to managing the whole process for support-staff, the role holder also needs to process responses to teaching staff advertisements for the Head’s PA in a very timesensitive manner.
  • Accurately maintaining all required personnel aspects of the school’s management database (currently iSAMS with a plan to move to a dedicated HR/Payroll database). Accuracy is key here as the team cannot afford to have inaccurate information in any new system implemented.
  • Working with payroll to provide accurate information around starters, leavers, absence etc. to ensure payroll have correct and timely information to allow them to pay staff appropriately.
  • Running the administration of the induction, probation and appraisal systems for support staff, chasing when forms are not returned completed and highlighting any concerns to the Personnel Officer and/or Director of Personnel.
  • Maintaining the personnel filing system, in accordance with the Data Protection Act including filing of absence records, appraisals, data validation result sheets etc. This includes making up Personnel files for all new starters.
  • Managing the daily post into and out of the Personnel office.
  • Any other duties commensurate with this role as directed by the Director of Personnel.
  • An ideal candidate would have the ability to grow this role and over time provide advice and support to line managers on Personnel issues, working with the other team members.

Role Requirements

The Personnel & Recruitment Co-ordinator should possess the
following attributes:

  • Knowledge of Personnel, recruitment and ideally employment law issues.
  • A strong ability to work in a busy and demanding role, managing multiple conflicting and changing priorities on a day to day basis.
  • Ability to get through a large workload on a daily basis.
  • Very strong administrative ability and experience
  • A very high standard of accuracy and attention to detail
  • Strong numeracy and literacy skills
  • The ability to work well as a member of a close-knit team
  • The ability to deal with all types of people, both internal and external, in an appropriate, friendly and professional manner
  • The ability to work to tight deadlines and communicate progress updates to relevant individuals
  • Discretion in handling sensitive / confidential personnel information and material
  • Strong IT skills particularly Excel and Word
  • The ability to accurately maintain up-to-date personnel information on a HR database.

Working hours

40 hours per week, Monday to Friday, all year round. The role is originally a 2 year fixed-term contract with the potential ability to be extended beyond this.

Salary and Benefits

The salary will be dependent upon the skills and experience of the successful candidate but is likely to be in the region of £23,000 to £24,500 per annum.

Lunch is provided together with membership of the school’s fitness centre.

Holiday entitlement is 28 days per annum, including statutory public holidays. Holidays can only be taken during school holidays.

Membership of the school’s defined contribution pension scheme for support staff is available, which includes free life assurance cover.

The school also offers childcare vouchers and Cycle to Work, as well as a voluntary benefits scheme.

Fee remission for staff’s children is also offered, provided the children meet all of the necessary entry requirements.

Child Protection

Under the Protection of Children Act 1999, as amended, employment at Sevenoaks School is classified as a regulated position and exempt from the Rehabilitation of Offenders Act 1974. An Enhanced Disclosure Certificate from the Disclosure and Barring Service will be obtained before the successful applicant is permitted to start work. The post-holder’s responsibility for promoting and safeguarding the welfare of children with whom they come into contact will be to adhere to and ensure compliance with the School’s Child Protection Policy Statement at all times. If in the course of carrying out their duties the post-holder becomes aware of any actual or potential risks to the safety or welfare of children in the school he/she must report any concerns to the Deputy Head (Pastoral).
