The British School of Barcelona (BSB) is a great school in a wonderful location. We are an HMC school and were judged by a recent BSO (British Schools Overseas) Inspection to be outstanding in every area, including quality of education, safeguarding, pupil welfare and academic outcomes.

BSB is a large, very popular school for children aged 3 to 18. Our curriculum is based on the English National Curriculum, and we offer a wide range of GCSEs, A levels and the International Baccalaureate Diploma, all alongside a significant enrichment programme.

Over 2000 pupils from more than 74 nationalities attend the school and over 315 staff work at BSB. We are based in three locations, two just outside the city of Barcelona – in Castelldefels, where we have a Primary, Secondary and Pre-University campus, and in the cosmopolitan town of Sitges, where we have another Primary campus. BSB City is in the heart of the city of Barcelona itself with a Foundation campus (built September 2021), and a brand-new main campus which opened in September 2023.

The growth of the school has been accompanied by significant investment over recent years, including the building of a state-of–the art Pre-University Centre (Nexus), a full-sized 4G rugby and football pitch, dedicated STEAM facilities for science and Art and the new BSB City campuses.

The school now has an exciting opportunity for an experienced Receptionist/Admin Support to join our fantastic team.

About the role
We are looking to recruit a Permanent Part-time Receptionist (morning shift) who will also provide administrative support to other departments to join our team at BSB. As part of our administrative team, you will have the opportunity to make a significant impact on achieving our strategic priorities, supporting the growth and development of the entire school. You will be a key member of a dynamic team, working in a collaborative environment focused on excellence.

We are offering a permanent, part-time contract, based in our campus in Castelldefels, to start as soon as possible.

Key Responsibilities:
1. Reception Tasks
• Maintain a welcoming attitude towards all visitors, the school community, and third parties by greeting them in person or via telephone and resolving queries through professional customer service.
• Sign visitors in and out of the school and direct them to their correct destinations, following the Safeguarding Policy, monitoring the logbook, and coordinating visitor badges.
• Manage the internal switchboard and resolve day-to-day communication issues, ensuring messages are delivered accurately.
• Generate reports for attendance and absences, ensuring records are accurate and up to date.
• Register the number of staff members having lunch and provide this information to the catering company.

2. Administrative Tasks
• Assign teacher cover duties to the timetable, ensuring classes are properly covered and records are updated.
• Provide support to other administrative departments with general administrative duties.
• Assist with basic first aid for students in line with Health & Safety and safeguarding guidelines.
• Manage deliveries, both incoming and outgoing, and coordinate in-house distribution.
• Ensure meeting rooms are tidy and presentable throughout the day.
• Support back-office administration by updating reports, databases, and archives, while handling confidential and sensitive information appropriately.
• Keep fire and evacuation lists updated.
• Be aware of and comply with policies and procedures related to safeguarding, child protection, health, safety, security, confidentiality, and data protection, reporting any concerns to the appropriate person.

Who we are looking for
We are looking for a welcoming, organized, and efficient individual to join our school as a receptionist. This role involves providing excellent customer service and administrative support. The ideal candidate should have excellent professional communication skills, initiative, problem-solving abilities, and a genuine love for working with children.

Candidate Profile:
• Experience: Previous experience as a receptionist, administrative assistant, or front desk staff, ideally in an educational or international environment.
• Languages: Fluent in English and Spanish. Knowledge of other languages is a plus.
• Competencies and Skills: Professional and friendly demeanour, strong organizational skills, ability to multitask, and great attention to detail.
